Going Live with Blackpurl: Post-Activation Checklist

A guide to the key tasks, processes, and reports your dealership should have in place after going live with Blackpurl.

Now that your dealership has completed the activation process and your team has finished training, you should be well equipped for day one in Blackpurl. This article covers the key things to confirm are in place as you settle into daily operations, along with the reports your team should be running on an ongoing basis.

Things to Check When You Go Live

Staff Training

Make sure all staff have completed their online training through the Blackpurl Academy. The self-paced online training gives every team member the fundamentals they need to work confidently in Blackpurl. You can access it at https://academy.blackpurl.com/.

Blackpurl Support

Make sure your team knows how to contact Blackpurl Support and understands what resources are available to them. Review Blackpurl Support (no longer available) for an explanation of the support team's role and how to get help.

Accounting Integration Tasks

If your dealership uses accounting integration, the following processes should be part of your regular routine.

Cash Reconciliation

Process your Cash Reconciliation in Blackpurl daily. Cash Reconciliation balances your tills and EFTPOS machines so you know exactly how much your dealership will receive into your bank account. Processing Bank Deposits

As deposits arrive in your bank account, you must process them against the undeposited funds / payments waiting deposit General Ledger (GL). Blackpurl does not post directly to your bank account — it uses this GL as a clearing account so you can confirm payments have been received. Customer Deposit General Ledger

Keep an eye on your Customer Deposit GL and make sure it balances to the Customer Deposit total in Blackpurl. Once you have accounted for the customer deposits brought over from your previous system, the Customer Deposit GL in your accounting package should match what Blackpurl shows. Vendor Order / Vendor Receiving / Vendor Invoice Process

Make sure your dealership understands and consistently uses the Vendor Order (VO), Vendor Receiving (VR), and Vendor Invoice (VI) process. See Understanding the Vendor Ordering / Vendor Receiving / Vendor Invoices process (VO / VR / VI) (no longer available) for a full explanation.

Parts Needed Report

Your Parts Department should be using the Parts Needed Report to identify what to order for special order customer orders. See Reporting - Parts Needed (no longer available) for guidance.

Recommended Reports to Run Ongoing

As your dealership settles into Blackpurl, each department should be running the reports appropriate to their role. The following articles outline the recommended reports for each area.

End of Month Tasks

At the end of each month, follow the recommended end of month task checklist for your accounting package.

Tip: Part Inventory Valuation Report

The Part Inventory Valuation Report reflects your inventory valuation as of the date it is run — it cannot be back-dated. For example, if today is 10 September 2024 and you want to see the valuation as at 31 January 2024, the report cannot retrieve that historical figure. Run this report regularly so you always have a current snapshot on record.
