This article will cover what the feature Inter-Store Look Up is / what is needed to have it setup and where it is available in Blackpurl
The Inter-Store Look Up can be setup for both Parts and Units
What is the Inter-Store Part Look Up / Inter-Store Unit Look Up feature
The scenario would be:
- Dealerships that have 2 or more stores with Blackpurl
- Store 1 may wish to see if Store 2 has a particular part available which they may want to sell to their customer instead of having to order the part in from the relevant Vendor
The Inter-Store Parts Look Up will allow Store 1 to see if this part is available at Store 2 - Store 1 may wish to see if Store 2 has a particular unit available which they may want to sell instead of having to order the unit from a relevant Vendor
The Inter-Store Unit Look Up will allow Store 1 to see what units are available at Store 2
- The notification of what the other stores have is for available quantities only
Parts example - Store 2 may have a quantity of 10 in stock but 8 of those are allocated / committed to jobs they already have in the system so the available quantity that will show is 2
Other information that you need to keep in mind:
- The look up tool will show the quantity available at that particular time of using the Inter-Store Look Up
Remember the other stores will continue to sell so the parts available quantities / units available may change so it is a good idea to double check before you official request the item from the other store
- Any unit that is committed to a Customer Order Unit Deal will not list in the Inter-Store Unit Look Up
The list will only show those units that are available for sale at the other store/s at the time of running the look up tool - Any part that is committed to a Customer Order will also not list in the Inter-Store Unit Look Up unless there are also available quantities
- You cannot restrict the type of information that is shared with the Group / Collective
For example - there is no functionality to restrict the other members in your Group / Collective to only see certain Vendor Parts and / or certain Makes and Models of Units
- However at no time will the Group / Collective be able to see the other stores cost and / or prices
Set up for Inter-Store Look Up
Dealerships are to reach out to BP Support by emailing support@blackpurl.com and requesting the Inter-Store Look Up functionality and provide the following information:
- a list of stores that they want to include in their Group / Collective
These stores will be known as Members of the Group / Collective
- the name of their Group / Collective
BP Support will escalate this request to our development team who will setup the Group / Collective and enable the Inter-Store Look Up feature in Blackpurl at the relevant stores
BP Support will then advise the user who made the request when this setup is complete and available for use
Applicable User Permission
Once setup has been complete, the Dealership will need to enable the User Permission: Quick Transfer to the relevant users that need access to this feature
Scroll down to the User Permission: Quick Transfer (it is the last on the list under the General Access section) and enable it by moving the relevant toggle
Once enabled the user will be able to conduct Inter-Store Lookups
Inter-Store Parts Look Up - Where is it available in Blackpurl?
Once the setup is completed, the Inter-Store Parts Look Up is available on Part Records and on line items on Customer Order
This is what you are looking for -
Once the above option is clicked on, the information is obtained and will indicate how many items are available in the Members of the Group
Examples below:
Part Record
When the user clicks the it will list the Members of the Group and what available quantity they hold
Customer Order - Line Item
After the user has added the part as a line item in any section of a Customer Order this option will also appear and it will list the total available quantity that the other Members of the Group have
In our example we have added a part to a Cash Sale > Parts & Accessories Customer Order and it is indicating that the total available quantity at the other Members of the Group is 4
When the user clicks the it will list the Members of the Group and what available quantity they hold

This is Inter-Store Part Look Up only
Currently if the Dealership is looking to transfer the parts between stores, then it would need to be done by selling the part on a Customer Order to the store that wants the part and then a VO/VR / VI at the store that is receiving the part
Inter-Store Unit Look Up - Where is it available in Blackpurl?
Once the setup is completed, the Inter-Store Unit Look Up functionality is available from the Other Tools menu in the Blackpurl Header
Once you have clicked on the Inter-Store Units Look Up feature your screen will look like this - totally blank ready for you to start your search
A. | Type in keyword to identify the unit you are looking up at the other Dealerships ie Make / Model / Year |
B. | This is the name of your Group / Collective that you will be searching Keep in mind that you may be part of multiple Groups / Collectives but the default one will always list first |
C. | One you get the search result, you can narrow down the information using this option |
Once you have typed in your keyword in section A. / change the Group or Collective name as required in section B. / then it will list the units that meet your search criteria
In the example below I used the keyword "unit" and it provided me with the list of units that meet my search criteria / what store they are at and all other details relevant ie Make and Model etc
Once you have your search result you can filter it even further by using the
Simply click on this option and then it will give the user further information about the search result ie Store / Make / Colour / Year
The number listed next to the item, will indicate how many ie Store (3) means that the search result has 3 stores that make up the list
If you want to see further information, click on to open up that section for further filtering ie I only want to see the units at specific stores

Currently if the Dealership is looking to transfer units between Dealerships, then it would need to be done by selling the unit on a Customer Order to the store that wants the unit and then UNT - Unit Ordering at the store that is receiving the unit
