This article covers the essential accounting integration rules and processes for dealerships that are new to Blackpurl and have an accounting package integration enabled. Following these guidelines from the start will help keep your accounting records accurate and your clearing accounts balanced.
Vendor Order / Vendor Receiving / Vendor Invoicing Process
The Vendor Order (VO), Vendor Receiving (VR), and Vendor Invoicing (VI) process must be completed in full for every vendor transaction. Blackpurl uses a clearing account called BP Received Inventory Accrual in your accounting package, and this account can only be cleared correctly when the entire VO / VR / VI process is completed from start to finish.

Customer Deposit General Ledger
The Customer Deposit General Ledger in your accounting package is a true clearing account. It should only ever contain transactions that have integrated directly from Blackpurl — never manual entries.
At any point in time, the Customer Deposit General Ledger balance in your accounting package must match the Customer Deposit listing inside Blackpurl. For guidance on keeping these in balance, see: Reconcile Customer Deposits Between Blackpurl and Your Accounting Package.
Two rules apply to this account at all times:
Do not add any manual entries directly in your accounting package against the Customer Deposit General Ledger.
Do not modify or delete any transactions that have integrated from Blackpurl.
Undeposited Funds General Ledger
The Undeposited Funds General Ledger (also known as the Payment Waiting Deposit General Ledger) is a clearing account that holds payments received on Blackpurl customer orders — including checkout payments and deposits — that have not yet appeared in your Bank Account General Ledger.
QuickBooks Online and Xero do not allow Blackpurl to integrate customer funds directly into your Bank Account General Ledger. Instead, payments are held in Undeposited Funds until you can match them to your bank feed.
Once you see the relevant deposits in your bank feed or bank account statement, allocate the deposit from the bank feed to the Undeposited Funds General Ledger (also known as the Payments Waiting Deposit General Ledger).

Blackpurl-Specific General Ledgers and Clearing Accounts
During your setup, your Activation Specialist added several General Ledgers to your accounting package that are either Blackpurl-specific accounts or clearing accounts. It is important to understand how each type works.
Clearing Accounts
Clearing accounts are managed entirely by Blackpurl. Blackpurl controls all entries that flow in and out of these accounts as part of its normal integration process. Two rules apply without exception:
Never post manual entries to any clearing account.
Never delete or modify any Blackpurl-integrated transactions in any clearing account.
The clearing accounts in question are any accounts listed under Accounting Integration > Control Account in Blackpurl. For a full explanation of what these accounts do, see: Understanding Accounting Integration — Step 4: Control Accounts Overview.
Blackpurl-Specific General Ledger Accounts
Blackpurl-specific General Ledger accounts — such as Unit Inventory and Part Inventory — were set up exclusively for use by Blackpurl. These accounts should only ever contain two types of entries:
The opening balance entered with your Activation Specialist during setup.
Integrated transactions from Blackpurl.
If you add additional manual transactions to these General Ledgers, the balances will never reconcile back to Blackpurl.
What Happens if a Blackpurl Transaction Fails to Integrate
There are several reasons a Blackpurl transaction may fail to integrate with your accounting package — for example, a dropped connection, a duplicate document number, or Blackpurl's access being accidentally removed.
When an integration failure occurs, Blackpurl automatically flags the transaction as a sync failure and notifies the Blackpurl Development Team. All sync failures are treated as urgent priority and resolved as quickly as possible. You do not need to manually re-enter failed transactions — contact Blackpurl Support if you have concerns about a specific failure.
