Blackpurl surfaces Accounts Receivable (A/R) balances from your accounting package — Xero or QuickBooks Online — so dealership staff can see what customers owe without needing direct access to the accounting software. This article explains where those balances come from and where to find them in Blackpurl.

Where A/R Balances Come From

Outstanding A/R balances originate in your accounting package. When a customer has an unpaid invoice — for example, a charge-on-account balance sitting as an open debtor in Xero or QuickBooks Online — that balance is what Blackpurl displays as the customer's A/R Balance. Most dealership staff don't have access to the accounting package, so Blackpurl makes this information visible directly within the system.

Where to See A/R Balances in Blackpurl

A/R balances appear in several places throughout Blackpurl.

Customer Order — Customer Section

When a customer has an outstanding A/R balance, a sync indicator icon appears in the Customer header section of a Customer Order. Opening the Customer section reveals the full A/R Balance and an option to Receive Payment on Account.

Customer Order — Invoice History Section

Customer Record

The customer's record displays A/R Balance details directly, giving you a summary of what the customer owes without opening a specific order.

Reporting — Customer Invoice Report

In Reporting, run the Customer Invoice report and apply the AR Balance filter (greater than 0) to show only customers with outstanding balances. You can also add AR Balance as a column to the report for a full view across all customers.

What to Do With This Information

How your dealership acts on A/R balance information is a decision to make as a team. Common approaches include:

  • Reminding the customer that they have outstanding invoices when they come in

  • Requesting payment at the time of the visit

  • Taking no immediate action and monitoring balances through reporting

Agree on a consistent policy internally so all staff handle these situations the same way.
