This article walks through the full process of creating and completing a service job in Blackpurl — from selecting a customer and entering job details, through adding parts and labour, updating the job status, and checking out the finished job.
Scenario
An existing customer requires a service and new brake pads installed on their unit. The steps below follow this scenario from start to finish.
Steps
Step 1: Open the Sell Workspace
Click Sell in the Blackpurl header to open the Sell workspace.
Step 2: Select a Customer
Click the Select Customer section, then click the Select for an existing customer field and search by surname, first name, mobile number, or email address. As you type, matching results appear — click the correct customer to select them.
You must select a customer for all service jobs. Blackpurl does not allow a Cash Sale on a service job.
If the customer does not appear in the search results, click Create New Customer to open the Create New Customer window and complete their details.
Step 3: Start a Service or Repair Job
After selecting your customer, click Start a Service or Repair Job. Blackpurl automatically opens a Service Job 1 section with a status of New Job. You can rename this section by clicking on the name and typing a new one.
Step 4: Complete the Job Details
Use the dropdown arrow to expand the Service Job 1 > Job Details section and complete the following fields.
A. Customer Unit — Select the relevant customer-owned unit from the dropdown, or click Add a new customer owned unit to create one.
B. Who is paying for the job? — Select the appropriate payment responsibility:
Customer Pay — the customer is paying for the service job themselves
Third-Party Pay — a third party such as an insurer or warranty provider is paying
Internal Expense — the dealership is absorbing the cost of the service job
Quote — the service job is a quote only at this stage

C. Concern — Type the customer's concern (for example: 12000km service required). Press Enter to accept the text into the field.
D. Cause — Enter any specific cause for the concern (for example: customer reported running up the gutter). Press Enter to accept.
E. Correction — Enter corrections required or completed. Press Enter to accept.
F. Odometer — Record the odometer reading on arrival at the dealership and on departure.
Step 5: Add Labour, Parts, and Other Items
Use the dropdown arrow to expand the Service Job 1 > Labor, parts & job items section. Click into the Scan or search to add a part, labor, kit, fee or merchandise field and either scan a barcode or type a search term.
Use filter keywords such as Labor, Parts, Sublet, Kit, or Fee to narrow down search results.
For example, to add a labour line, select Labor as the filter keyword, then search for the specific labour code. As you type, matching results appear.
Click your selection to add it to the job. Then update the quantity and price as required.
Step 6: Add Remaining Items and Obtain Customer Approval
Continue adding all items required for the service job. Use the same search method as Step 5 — for example, search for brake pads using the Parts filter keyword.

Step 7: Update the Job Status to Ready to Start
When the service job is ready to be worked on and the unit has been received, change the status in the Service Job 1 header to Ready to Start. Continue updating the status as the job progresses.
If your dealership provides technicians with service worksheets, print one now by clicking the print icon and selecting the option to print the Service Worksheet.
Step 8: Finalise the Service Job
Once the service worksheet is returned by the technician, finalise the service job. Review and update the following as needed:
Type any Notes for customer
Update the Odometer reading
Update any changes to labour quantity or other line items
Click Log Technician Time if you need to manually record technician time, then complete the details
Add any relevant attachments under the Documents section
Each uploaded image is limited to 1.25MB. Larger images can be uploaded but will be automatically compressed to fit within this limit. You can upload up to approximately 50 images per service job.
Step 9: Check Out the Service Job
When the service job status has been changed to Ready to Invoice, the job is ready for checkout. The running balance in the Checkout section shows the amount the customer owes.
Click Checkout to proceed to the checkout screen.

Step 10: Select Items and Process Payment
In the Select what you want to Checkout section, any items available for checkout — such as Service Job 1 — are listed. Select the items to check out, then choose a payment method and enter the amount. Click Checkout to apply the payment.
To split payment across multiple methods, choose a payment method and enter the amount for that method, then choose another payment method for the remaining balance — repeat until the full amount is covered.
If there are multiple items available for checkout, you can choose which items are included in this transaction.

Once the customer order is paid in full, the Balance Due area changes to green. Click Add Payment and choose to either print or email the invoice to the customer. Then click Finalize Checkout to complete the transaction.
Step 11: Confirm the Customer Order is Closed
Once the customer order is finalised, its status changes to Closed and no further changes can be made. An Invoice History section is added — return here if you need to reprint or re-email the invoice.
Result
After the service job is finalised:
The customer order appears on the Customer Record under Service History.
It also appears on the Customer Owned Unit Service History.
