Accounting Reconciliation Tool Explained

Understand what the Accounting Reconciliation tool does, where to find it, and how to read the information it provides.

What the Accounting Reconciliation Tool Does

The Accounting Reconciliation tool compares balances between Blackpurl and your accounting program (Xero or QuickBooks Online) for each of the relevant Blackpurl Control Accounts. Use it to identify discrepancies, see when a variance was last recorded, and investigate why a Control Account General Ledger in your accounting program does not match Blackpurl — for example, if accounting-integrated transactions have been deleted or amounts have been modified.

Where to Find the Accounting Reconciliation Tool

The Accounting Reconciliation tool is located in the Blackpurl header under Tools. Click Tools in the header, then select Accounting Reconciliation from the menu to run it.

How to Read the Accounting Reconciliation Results

The Accounting Reconciliation screen displays a table with a row for each Control Account or account type. Each row is made up of five columns, described below.

A. Type

The category of accounting reconciliation. Possible types are:

  • Sync Failures — indicates any accounting sync failures, including sync failures from WPM or Shopify integrations where applicable

  • Deal Options — a Blackpurl Control Account

  • Deductible — a Blackpurl Control Account

  • Stocked Trade — a Blackpurl Control Account

  • Store Credit — a Blackpurl Control Account

  • AP Inventory — a Blackpurl Control Account

  • Parts — a Blackpurl Inventory Account (multiple rows may appear depending on the Part categories you have configured)

  • Units — a Blackpurl Inventory Account (multiple rows may appear depending on the Unit categories you have configured)

  • Deposits — a Blackpurl Control Account

B. GL#

The General Ledger number in your accounting program that the Blackpurl Control Account is mapped to.

C. GL Name

The full name of the General Ledger in your accounting program that the Blackpurl Control Account is mapped to.

D. Current Reconciliation

The most recent reconciliation snapshot for this account, broken into four sub-values:

  • Date/Time — when the last reconciliation snapshot was taken

  • BP Record — the number of Blackpurl records involved

  • BP Balance — the account balance as recorded in Blackpurl

  • GL Balance — the account balance as recorded in the mapped General Ledger

  • Variance — the difference between the BP Balance and GL Balance

E. Last Recorded Variance

Details of the most recent variance recorded for this account:

  • Date/Time — when the last variance was recorded

  • Amount — the amount of that variance
