BP2CO: Unit Deals

One of the three primary transaction types on a customer order is a Unit Deal. This type of transaction allows you to process the sale of one or more units and taking one or more customer units in on trade. For each unit sold you can build a list of options and fees associated with the unit.

Permission control

To be able to work with this type of transaction the user will need to have the Deal > create/modify permission enabled.

The Unit Deal tab

Unit Deals are a tab on a customer order which has 3 main parts to it: 1) a header 2) a sidebar and 3) the sale contents.

The Unit Deal header

The header of the tab is found across the top and on the left side of it you are shown the status of the deal you are working with along with the overall status of any options that may have been added to the units on the deal.

Use the deal status icon to progress the deal through to final approval.

The Options status gives you an indication of the general state of the parts/labor options associated with any of the units on the deal. Have they been committed to the deal yet which generates the deal service/merchandise transactions or are they still pending.

On the right hand side of this header is where you'll find general tab actions and tools. Commit options to the deal, Add more units to the deal, work with attachments & forms, etc.

The Unit Deal sidebar

On left side you have a collapsible sidebar which contains all of the summary information and controls for the transaction.

Icons on the far left allow you to either expand/collapse the sidebar or to "pin it" so that the sidebar is always expanded.

The sidebar has four main groupings of information about the unit deal with the first being the transaction type grouping which allows you to see/change the type of unit deal you are working with, Cash Deal or Financed. This area is expanded by default.

Next is the summary grouping which is where you will find the totals for the unit deal. By default it is shown to you in its collapsed state and only shows the overall total of the unit deal.

Using the chevron in the top right you can expand it to see a detailed breakdown of the total.

Next is the details grouping which is expanded by default. Here there are additional data fields related to the entire unit deal. You can assign a co-buyer to the deal, set a delivery date and record the customers insurance information.

Lastly is the controls grouping which is expanded by default and this is where you can assign salespersons to the transaction, record the commission amount they earned or control how taxes are calculated.

Using the + icon you can select or deselect salespersons that are assigned to the unit deal.

The Unit Deal contents - Overview

This is where you work with all of the units being sold or customer trade-in units that make up the contents of the unit deal.

Since multiple units can be involved in a unit deal, the main contents will have a tab for each unit being sold or traded-in as seen in this example of a deal containing 1 unit being sold and 1 trade-in. Each of these are referred to as a "deal unit".

For each unit being sold there are 3 main areas of content:

Information about the unit is shown first as seen here:


First it shows the type of unit it is along with the current status of that unit

Below this is the main information about the unit which includes its Make, Model, Submodel, Year, Color, VIN/SN and Stock#

Below this the Mileage information is shown which you can adjust as necessary

And below that are some actions that may be available for the unit such as

a Tools action which allows you to replace the unit with another one or remove it from the deal entirely

As well as icons which allow you to access the notes on the unit record or to open the unit page in another browser tab

On the right side of this unit information the primary image for the unit is shown and you can click on it to view all images on the unit record

Main content - Unit being sold - Unit pricing

The next main area of content for a deal unit is the unit pricing information.

The first part of this gives you to summary pricing of the unit which includes its total price, the base unit price, factory options pricing, dealer installed option pricing as well as the total options & fees which have been added to the deal for the unit

Pricing Details gives you access to the itemized specifics of all pricing information on the unit record.

As well as additional controls for how taxes are calculated which vary depending on the country you are in

In this area you can add additional parts, labor, fees, etc that are also being sold with the unit on the deal.

A search box is provided which allows you to find the items to be sold along with the unit.

You can prefilter the search results by using the filter icon or starting your search with a slash character.

For each item you add to the sale you can indicate the quantity needed and override the price if your permissions allow this.

The line item status is automatically set based on the type of item added and for parts based on the quantity that is available.

Items can also be added to the transaction by importing a Pick List

Which will take you through the workflow for importing items from a list you've created.

Main content - Unit being sold - Option fulfillment

Some options for a deal unit need to be fulfilled by another department because deals do not manage the parts inventory or labor work needed to fulfill the options. For any such options line items, the "Fulfilled by" column is where you indicate how you want the item to be fulfilled. Either via a deal service job or a deal merchandise transaction. The default is always Service and you can change that for items that can be fulfilled by a deal merchandise transaction.

Any such line items must be fulfilled by finalizing the deal service or deal merchandise transactions before the deal itself can be finalized.

Main content - Trade-in Unit

The content for a deal trade-in unit is in two parts.

The first part is the details about the unit itself which is similar to the unit information for a unit being sold.

Below this are all of the deal specific values for the trade-in.

Such as its deal values:

  • Agreed Value is the amount of credit the customer is getting for the unit on the deal.

  • Actual Cash Value is how much the trade-in is actually worth to the store. This becomes the inventory cost for the trade-in unit when it is stocked in.

  • Lien Payout is how much the customer still owes to a third-party for the unit

  • Finance Company is only required when a Lien Payout has been entered and is the finance company that needs to be paid off when the deal is finalized.

Beside this are some additional values or controls

  • Approved By is who has given approval for the trade-in to be accepted at the agreed values

  • Sales Tax Controls to dictate how sales taxes should be calculated for the trade-in

Lastly are some optional values that can be populated

  • Plate/Reg No & Expiry Date are the licensing information of the customer

  • A Transfer option to indicate that the customers plates will be transferred to the unit they are purchasing

  • Appraisal fields to record the status of the trade-in appraisal and any notes to be recorded from that appraisal
