BP2CO HowTo: Deal Options and Fulfillment

Each unit on a unit deal can have its own list of additional options and fees that are being sold along with the unit. Typical items can be parts and the labor to install them, kits, sublet, fees, warranty or other deal products.

Options that are Parts, Labor, Kits or Sublet cannot be fulfilled solely by the deal as they need to be fulfilled by either the parts or service departments. This is where the fulfillment comes into play: The deal can sell the items but another department needs to fulfill the deals need for those items.

Deal option fulfillment is handled by additional transactions on the customer order when the options are "committed" to the deal. These additional transactions are known as Deal Service and Deal Merchandise transactions.

Which options need to be fulfilled?

The line items in the deal unit Options & Fees will indicate which line items need to be fulfilled in the "Fulfilled by" column.

For some of these options you will have the ability to choose how the options are fulfilled.

Committing options to the deal

To generate the fulfillment transactions for a deal you need to "Commit" the options to the deal. Labor and Sublet must always be fulfilled by "Service" meaning they require a service job. Parts though, can be fulfilled by either Parts or Service. The default behavior is to have Service perform the fulfillment because the majority of these options require a technicians involvement to install them on the unit being sold.

To commit the options included in a deal a "Commit Options" action is available in the header of the deal.

Selecting this will prompt you to confirm your action

The Commit action will generate the necessary fulfillment transactions: a deal service job for items being fulfilled by Service and a deal merchandise transaction for items being fulfilled by Parts.

If the deal is selling multiple units and each has its own set of options that need to be fulfilled by Service, multiple deal service jobs will be created, one for each unit.

The availability of the "Quick Fulfill" option is controlled by the Settings > Settings & Controls > Shop Settings > Allow quick fulfilling of deal unit options setting for your store and is only available when enabled.

This "Quick Fulfill" option will not only create the supporting deal service/merchandise transactions but will also finalize them if all items are in stock and no technician involvement is required. When true, the supporting transactions will be automatically finalized after then are created so that you don't have to finalize them yourself.

Deal Service/Merchandise restrictions on the deal

Once deal unit options have been committed to the deal and are now tied to a deal service/merchandise transaction, those deal unit options cannot be removed from the deal. The only changes you can make to those line items is adjusting the price on the deal.

Removing/Modifying committed options

If you need to remove or adjust the quantity of a committed option on the deal, you first must remove/adjust it in the supporting deal service/merchandise transaction. This will generate an Unresolved Fulfillment on the deal from which you can action to also remove/modify it in the deal.

The Unresolved Fulfillments tab will appear in a unit deal whenever options have been committed to the deal and those options on the supporting deal service/merchandise transactions have been modified or removed. This will also be triggered if additional items are added to the deal service/merchandise transactions.

Whenever the Unresolved Fulfillments tab is included for a deal, that deal cannot be finalized until all issues have been resolved.

A line item will appear in this tab for each line item from a supporting deal service/merchandise transaction that was Updated, Removed or Added.

Each line item will have a corresponding action to process the same change on the deal itself.

  • The "Remove" action will remove the corresponding deal unit option from the unit deal

  • The "Add" action will add the same item to the unit deal

  • the "Remove" action will remove it from the deal

For some of these you will be able to control if the customer is charged for the item on the deal.
