BP2CO: Financed Deals

Deal financing in Blackpurl lets you attach a finance provider to a unit deal, track the financing status from Quotation through to Funded, and record payments from both the customer and the finance company. In the new Customer Order, all financing controls live on the Deal Finance tab.

Before You Start

Before you can add financing to a deal, your organization must have at least one vendor configured as a finance company. Finance company vendors only need to be set up once and are then available across all Customer Orders.

How to add financing to a deal

At anytime while working with the Unit Deal, you simply need to change the deal transaction type to make it a financed deal and the Deal Finance tab will be added to the customer order.

The Deal Finance Tab

Deal Finance is a tab on a customer order which has 3 main parts to it: 1) a header 2) a sidebar and 3) the job contents.


The Deal Finance header

The header of the tab is found across the top and on the left side of it you are shown the current status of the deal financing.

All deal financing starts off having a "Quotation" status and progresses its way through being "Submitted", "Approved" and eventually "Funded" when payment is received from the financing company.

On the right hand side of the header is where you'll find general tab actions and tools. A primary action for progressing the financing through its various statuses, another for working with forms and attachments as well as a tools action for deleting the financing.

The Deal Finance Sidebar

On left side you have a collapsible sidebar which contains all of the summary information and controls for the transaction.

Icons on the far left allow you to either expand/collapse the sidebar or to "pin it" so that the sidebar is always expanded.

The sidebar has three main groupings of information about the deal financing with the first being the details grouping which allows you assign a co-buyer to the financing. This grouping is expanded by default.

This contains a simple search element which allows you to search for and select a customer to be the co-buyer. A tools icon is also available which allows you to add a new co-buyer or to create a new customer to be the co-buyer.

Next is the summary grouping which is where you will find the totals for the deal financing. This grouping is expanded by default.

Lastly is the controls grouping which is expanded by default and this is where you can adjust how taxes are calculated.

The Deal Finance contents - Overview

This is where you work with everything that makes up financing for a unit deal which includes:

  • Selecting a finance company

  • Indicating the down payment amount and financing rate and terms

  • Adding any additional financing products being sold as part of the deal financing

The Deal Finance contents - Finance Company

In this area you will see information about the finance company being used for the deal.

If you have multiple finance company vendors you will be prompted to select one.

Actions are provided below the finance company information which allow you to change the finance company or to view the vendor page for the finance company in a new browser tab.

The Deal Finance contents - Down payment and Terms

In this area you enter the values necessary to determine the amount financed and the estimated payment amount. These values include:

  • Down Payment - the amount the customer must pay. Enter the agreed down payment before accepting the customer's deposit.

  • Interest Rate (Sell) - The rate quoted to the customer. Used to calculate the estimated payment amount.

  • Interest Rate (Buy) - (optional) This is only used when the finance company offers the store a lower rate which they can markup to the customer. When used, the Buy Rate Commission is automatically calculated.

  • Loan Term - How long the deal is being financed for. This can be a number of months or years.

  • Payment Frequency - How often with the payments be made? Available options are: Monthly, Semi-Monthly, Bi-Weekly, Weekly, Annual, Bi-annual.

  • Financing Commission - (optional) This is where you can enter a commission amount earned by the salesperson on the deal.

  • Buy Rate Commission - (optional) This is automatically calculated when a Buy Rate has been entered. You can override it to account for any rounding issues.

The Deal Finance contents - F&I Products

This is where you can add any additional financing products that may be included in the deal. Examples would be credit insurance or GAP insurance. Financing products are defined on vendor records as vendor products.

All line items are in-line editable when the deal state allows editing. Where applicable, additional red text appears below the item description which indicates how this product may effect the payment amount expected from the finance company.

Bulk actioning line items

To perform a bulk action on the line items each line item will have a checkbox you can select. Once at least one line item is selected these bulk actions are exposed at the bottom of the screen.

F&I Product Cost Methods

Two cost methods on finance products affect how Blackpurl calculates the amount payable by the finance company: Price withheld and Cost withheld.

  • Price withheld — The finance company does not reimburse the selling price of the product. A loan registration fee is a common example.

  • Cost withheld — The finance company withholds the dealer cost of the product from their payment. Commonly used when the finance company supplies a product to the dealership for resale.

Products with either cost method can only be added to a deal financed by the same finance company that supplies that product. Blackpurl deducts the relevant price or cost from the amount financed when calculating the expected payment from the finance company.

F&I Products from Other Finance Companies

You can add F&I products from vendors other than the primary finance company on a deal. When a product from a different vendor appears in the list, it is clearly labelled. Products with a cost method of Price withheld or Cost withheld are an exception — they cannot be added from a different finance company because they are specific to their vendor.

Financing Status Workflow

Deal financing moves through four statuses in sequence: Quotation, Submitted, Approved, and Funded. Each status unlocks the next set of available actions.

Step 1: Submit the Financing Application

Once you have sent the customer's application to the finance company, click Submit Finance in the tab header. The financing status changes to Submitted. Confirm the finance figure on the deal matches the amount in the application you submitted.

Step 2: Record Approval

When approval is received from the finance company, click Approval received in the tab header. The financing status changes to Approved.

Financing cannot be set to Approved unless the Unit Deal status is already Approved. Once the deal reaches Approved status, these restrictions apply:

  • Line items cannot be added, deleted, or moved

  • Line item quantities cannot be changed

  • Deal status cannot be set to Approved when there are unresolved fulfillments

  • Deal status cannot move away from Approved if the Deal Financing status is Approved or Funded

Step 3: Record the Funding Payment

Once the Deal Financing status is Approved, record the funding payment received from the finance company by clicking the Funding Payment button in the tab header. Do not use the main Deposit section.

Blackpurl auto-populates the funding amount based on the financed amount, accounting for any withheld product prices or costs and any financing commission included in the payment. The amount is not user-entered.

When the payment is confirmed, the Deal Financing status changes to Funded.

Receive the Down Payment from the Customer

To receive a down payment from the customer on a financed deal:

  1. Enter the agreed amount in the Down Payment field in the Financing Summary.

  2. Accept the payment using the deposit action. Select the payment method and confirm the deposit.

The down payment appears in the Deposits section of the Customer Order after it is confirmed.

Checkout with Financing

Checkout on a financed deal is only available when the Deal Financing status is Funded and the Unit Deal status is Approved. If either condition is not met, a notification appears at checkout.

  1. Click Checkout in the Customer Order header.

  2. Click Unused Deposits to apply the finance funding to the order.

  3. If the customer paid a down payment, click Unused Deposits again to apply that deposit.

  4. Finalize the invoice as normal.

Finance Commission Settings

Finance commission settings control whether the commission earned from the finance company is included in the expected receipt against the Customer Order.

Org-Wide Setting

Enable the commission-included option in System Settings > Settings & Controls — Shop Settings. When enabled, the full amount funded by the finance company — including both the finance amount and the commission — must be receipted in Blackpurl. Enter the commission amount in the Dealership Commission field in the Financing Summary.

Per-Vendor Override

If a finance company pays commission separately rather than including it in the funded amount, override the setting at the vendor level. Open the vendor record, click Edit, and enable Commissions not included in finance payments.

When this option is active for a vendor, the commission is still recorded on the deal. At close-out, commission income posts to the Finance Commission Income control account, but the offset goes to the Finance Commission Clearing account. The dealership then allocates the separately received commission payment to the Finance Commission Clearing GL in their accounting package. The commission is not receipted against the Customer Order.

Accounting Control Accounts

Two control accounts for financing commissions are available under System Settings > Accounting Integration — Control Accounts:

If no GL account is assigned to either control account, commission income entries will not appear in the journal entry.

Financed Deal Accounting Entries

The cost of goods sold (COGS) journal entry for a financed deal invoice accounts for any prices or costs withheld by the finance company, and for any financing commission income on the deal.

  • When commissions are included in the finance company's payment, commission income posts directly to the Finance Commission Income control account.

  • When commissions are not included in the payment, the COGS entry uses the Finance Commission Clearing control account instead.

When finance funds are received into the dealership's bank account, allocate those funds in your accounting package to the GL account attached to the Finance payment method — typically the Undeposited Funds GL.

Financed Deal Documents

Three documents can be generated for a financed deal: the Bill of Sale, the Offer to Purchase, and the Invoice. On all three:

  • The payment listing includes only customer-related payments — finance company payments are excluded.

  • The Amount Paid total reflects only the actual amount paid by the customer.

  • The Due from Financing figure does not reflect commissions earned or product prices and costs that are withheld.
