Blackpurl Release Notes — Deal Financing, Reporting, and System Updates

A summary of new features, enhancements, and bug fixes introduced in this Blackpurl release.

What's New

Customer Orders > Unit Deals — Deal Financing Updates

Several enhancements have been made to the Deal Financing section of Unit Deals.

New: Funding Details Section

Deal Financing now includes a Funding Details section with two distinct areas:

  • Customer Summary — shows a breakdown of any down payment requirements and what balance is still owed by the customer.

  • Funding Summary — shows a breakdown of what is due (or still due) from the finance company.

New: Financing Actions Section

A new Financing Actions section lists all actions available to the user based on the current state of the Deal Financing record. The actions shown depend on:

  • The current status of the Deal Financing (for example, Quote through to Submitted)

  • What information is still missing (for example, Add Finance Company)

  • Other available actions such as Accept down payment

Recording Finance Payments and Accepting Down Payments

Finance payments must be recorded through Deal Financing > Financing Actions using either Accept down payment or Record Funding payment. If a user attempts to add a finance payment through the Deposit section instead, the Payment Method: Finance Company option will be greyed out.

Checkout Requirements for Finance Deals

The checkout requirements for finance deals have changed. Previously, both the Unit Deal and the Deal Financing needed to be in Approved status to check out. The requirement is now:

  • Unit Deal status: Approved

  • Deal Financing status: Funded

If a user attempts to check out without meeting both requirements, a notation message will appear in the Checkout section.

Editing a Unit Deal After Finance Funding Has Been Received

It is now possible to make changes to a Unit Deal even after finance funding has been received. To make changes, the user must first return the Unit Deal status to IN PROGRESS. Changes such as adding or removing parts or adjusting the unit price are permitted.

However, the Unit Deal cannot be closed out until the Unit Deal total equals the funded amount. If the finance requirements have changed entirely, the user must remove the funding payment first and then amend the Unit Deal to match the new funding amount.

Tax on Unit Options

Deal Options on a Unit Deal can now be sold using a different tax rate to the one applied to the Unit Deal itself. This change accommodates dealerships with varying tax requirements across different deal options.

Changes to the Part Inventory Valuation Report

The Part Inventory Valuation Report has been updated with the following changes:

  • The column previously called Total Cost has been renamed to In Stock Cost.

  • A new Inventory Valuation column has been added as the last column in the report. Its value is calculated as: Inventory Valuation = In Stock Cost − Oversold Cost. This column is included in the default totals by default.

  • The Average Cost column is no longer included in the default totals.

New Report — Active Service Sublet Report

A new Active Service Sublet Report is now available to help dealerships track all active service sublets in Blackpurl.

Manually Log Technician Time as Hours Only

This change affects dealerships that manually log technician time on Customer Orders, including Service Jobs, Deal Service, and Internal Service Jobs.

A new system setting allows dealerships to choose how manual technician time is logged. The setting is located at System Settings > Settings and Controls > Shop Supplies — Technician hours method on jobs.

Two options are available:

  • Hours only — the user enters the number of hours only. The Time In and Time Out fields are greyed out and not required. Note: this option is not recommended if you rely on Technician Productivity reports.

  • Time in/Time out — the user enters a Time In and Time Out, and Blackpurl calculates the number of hours. Users must ensure that their entries do not overlap with other time clock or manual entries already in Blackpurl.

Landed Cost Adjustment on Units

Dealerships can now apply a Landed Cost Adjustment (LCA) when receiving a unit. This allows costs such as freight to be added at the time of receiving the unit, rather than as a separate unit cost adjustment.

Changes to Tiered and Escalating Tax Calculation on Unit Deals

Tiered and escalating taxes on Unit Deals were previously calculated on a line-by-line basis, which could produce incorrect tax amounts. Taxes are now calculated on the total of all items sharing the same tax component on the Unit Deal, ensuring the correct tax amount is applied.

Improved Editing of Service Job Concern / Cause / Correction Fields

The Concern, Cause, and Correction fields on a Service Job previously displayed text as a single continuous line, requiring the user to scroll horizontally to find the section they needed to edit. These fields now display in a more user-friendly multi-line format. Click on the text to open it for editing.

Lockdown Part Records

Dealerships can now lock specific fields on Part Records — MSRP, Retail, and Description — to prevent them from being overwritten when a vendor price file is imported.

Preferred Payment — Card Not Present

Dealerships using Preferred Payment but without a physical terminal can now process payments using the Card not present feature in Deposit, Checkout, and AR Payment of Account.

User Permission — Account Administration: Price Levels

The Account Administration — Price Levels user permission now enforces its intended behaviour. When this permission is enabled, the user must also have the create/modify permission enabled in order to amend or assign Price Levels to Customer Records.

Change of Workflow for Unit Deal Once a Stocked Unit Is Added

When a stocked unit is added to a Unit Deal, Blackpurl now automatically opens the Edit Pricing Details window. This prompts the user to review pricing and dealer-installed options as the first step. The Edit Pricing Details window can be reopened at any time by clicking EDIT PRICING.

Temporary Unit — New Fields

The Set a temporary unit window now includes two new fields:

  • Condition — select New or Used.

  • Mileage type — select from Hrs, Km, or Ml.

Unit Deal — Co-Buyer

Previously, a Co-Buyer could only be added from within the Deal Financing section. Co-Buyers can now be added directly from the Unit Deal Summary section. Click Add co-buyer in the Unit Deal Summary section and search for the relevant customer.

Unit Deals — Negative Part Line Items for Exchanging Parts

Users can now enter negative quantities for line items in the Unit Deal > Options & fees section. This allows parts to be returned to stock in exchange for another part. For example, if a customer wants to swap out a standard steering wheel for a different one, the user can add the returned steering wheel as a negative line item and add the replacement steering wheel as a standard line item. This functionality carries over to Deal Service and Deal Merchandise.

Vendor Receiving — Ability to Edit Part MSRP, Retail, and Locations

From the Vendor Receiving screen, users can now edit a part's MSRP, Retail, Sale Price, and Locations. Click into the relevant part line item and then click the edit (pencil) icon to open the Update Part window. Make your changes and click Save.

Automated Price Files Renamed to Processed Price Files

The Automated Price Files section has been renamed to Processed Price Files.

What's Improved

The following improvements, fixes, and resolved issues are included in this release:

  • Performance — replaced all SVG icons with web fonts to improve performance by reducing the number of API calls being made.

  • Improved — part labels now include a barcode that barcode scanners can read more reliably.

  • Change to New Global Search (still with Beta testers) — implemented sync error tracking, notification, and resolution scripts; additional adjustments to the accuracy of the new global search as it relates to part records.

  • Resolved — an issue that allowed a user to transfer ownership of a consignment unit when creating a unit for a customer.

  • Resolved — an issue that prevented the BP Admin user from modifying General Config settings from the front end.

  • Implemented — a new restriction to prevent a user from stocking in a trade-in if it does not have a VIN.

  • Resolved — an issue where exact matches were not always being returned in the global search.

  • Correction — the spelling mistake in the appointment tooltip in the service job header.

  • Resolved — an issue that caused unit report filters to drop off after being selected.

  • Resolved — an issue that caused the Parts inventory GL to not match Blackpurl balances.

  • Resolved — an issue that falsely indicated a sync failure on a vendor return journal entry.

  • Resolved — an issue encountered when modifying the filters on a custom-saved report.

  • Resolved — an issue where shop supplies were not being calculated on labor items found in kits.

  • Implemented — changes to SOM submissions to reduce the chances of failures.

  • Resolved — an issue that prevented the user from reporting recent parts sorted by location.

  • Resolved — an issue with Unit Check-in which incorrectly gave an error on the date promised.

  • Resolved — an issue that caused the new global search to provide an incorrect value for the part location.

  • Resolved — a unit ordering issue that caused factory options to not be listed in the same order they were added.

  • Resolved — a Xero configuration issue that occasionally prevented the AR credit payment method from returning values.

  • Resolved — an issue where after editing the filters on a saved custom report the Save button was not available.

  • Resolved — an issue where a user could backdate payments and deposits even though they did not have permission to do so.

  • Resolved — an issue where taxes were not calculated for a deal with the tax enhanced setting turned off.

  • Implemented — a script to populate the approved amount on already-financed deals.

  • Changed — removed United States from the Country list and listed all states under the USA country code instead (internal).

  • Removed — placeholder vendor image from vendor and Vendor Order (VO), Vendor Receiving (VR), and Vendor Invoice (VI) screens.

  • Relocated — the Technician hours setting from the Shop Supplies section to the Shop Settings section under the Settings & Controls page.

  • Removed — the red text below the Applicable Tax field on deal units as it no longer applies.

  • Removed — plate number from stock unit created by the stocking in of a trade-in on a deal.

  • Resolved — an issue when finalizing a vendor invoice where an invoice number containing an apostrophe caused a failure when Blackpurl is connected to QuickBooks (QB).

  • Resolved — an issue with the tab order on the add/edit part window.

  • Resolved — an issue where QB payment terms did not already exist in Blackpurl when setting a due date on vendor invoices. Syncing the chart of accounts will now also force the syncing of all payment terms from QB to Blackpurl.

  • Resolved — an issue with reports where the sort selection did not appear to persist when a new sort was selected.

  • Resolved — an issue where the Save button was not activated on the log technician modal.

  • Resolved — a UI issue on the reporting screen related to horizontal scroll and reordering columns.

  • Resolved — an issue where the user was not able to change quantities on a service job line item.

  • Resolved — an issue where the Due In / Promised date was being deleted.

  • Implemented — a fix to not show the delete action for already-committed options on a deal.

  • Changed — provided an option to use a backdate as the invoice date when finalizing a deal that has a cost-withheld F&I product.

  • Correction — made for profitability shown on the view part preview screen.

  • Resolved — an issue where tax was not being handled properly on negative unit cost adjustments that generated vendor credits in the accounting app.

  • Resolved — an issue to ensure that price-withheld F&I products are not included in the Sales total on the Profitability screen.

  • Resolved — an issue that allowed the user to remove a unit from a deal that had committed options. A deal unit can no longer be removed if it has any deal options.

  • Changed — added validation to restrict users from adding the same required item on multiple Vendor Orders (VOs).

  • Resolved — an issue that allowed Shopify to create a duplicate customer in Blackpurl when a pre-existing customer had been made Inactive. The pre-existing customer will now be reactivated instead.

  • Changed — added a validation so that if a Vendor Order has been received, the user will not be able to lock that Vendor Order from the duplicate tab.

  • Resolved — an issue where part pricing was not updated when markup was controlled and applied from an associated vendor in the case of a large data set.

  • Resolved — an issue where deal merchandise cost doubled on the Profitability screen for a reopened invoice.

  • Resolved — a part count pagination issue.

  • Resolved — an alert message issue when finalizing checkout.

  • Resolved — an error stating to provide the dealership country on the business profile while saving general configurations (internal).

  • Resolved — an issue where the Record Funding Payment action disappeared even when Deal Financing status was Approved.

  • Resolved — an issue preventing certain email addresses from being accepted when creating or editing a customer.

  • Resolved — an issue to show the Billing Address on the Part Pick Ticket document.

  • Resolved — an issue where part descriptions were disappearing from kits when added to service jobs.

  • Changed — added verification for the duplicate tab issue on the stock-in button to prevent duplicate units being added to stock.

  • Resolved — an issue encountered when breaking a kit.

  • Changed — users are now prevented from submitting a claim when the service job status is Estimate.

  • Resolved — an out-of-state address issue for customers fetched from QuickBooks Online (QBO) to Blackpurl.

  • Release — Custom Forms that have been mapped and made available for specific dealerships.
