Inventory Opening Balances Explained

Understand how Blackpurl sets your Unit and Parts Inventory opening balances in your accounting package and how to verify they match.

Your Activation Specialist creates opening balance journals in your accounting package for Unit Inventory and Parts Inventory. These journals ensure your GL balances match the inventory data you provided during activation—so Blackpurl and your accounting package start in sync from day one.

What You'll Receive

After launch, your Activation Specialist provides an opening balance summary showing the journal posted to your accounting package.

Example Journal:

BP Category

GL Account

Debit

Credit

Parts Sales

1300.bp BP Parts Inventory

$125,986.25

New Unit Sales

1310.bp BP New Unit Inventory

$486,523.00

Used Unit Sales

1311.bp BP Used Unit Inventory

$153,689.00

Opening Balance Equity

$766,198.25

The debits match the total value of inventory imported into Blackpurl. The credit goes to your Opening Balance Equity account (consult your accountant on which equity account to use).

How to Verify Your Balances Match

After activation, run these reports in Blackpurl and compare to your GL:

  1. Stock Unit Valuation report (by category) → Compare to Unit Inventory GLs

  2. Part Inventory Valuation report (by category) → Compare to Parts Inventory GL

The totals should match to the penny. If they don't, contact your accountant—the discrepancy likely comes from differences between your old accounting package balances and the actual inventory data you provided.

Pro Tip: Run these reconciliations monthly. Catching discrepancies early prevents end-of-year scrambles. See the Reconciliations section in Reporting for step-by-step guides.

Important Notes

The journal is based on YOUR data. Your Activation Specialist calculates opening balances from the unit and parts lists you provided during activation—not from your old accounting package. If there's a discrepancy between Blackpurl's valuation and your previous Balance Sheet, talk to your accountant. Other opening balances are your responsibility. Blackpurl only handles Unit Inventory and Parts Inventory opening balances. All other GL opening balances (A/R, A/P, bank accounts, etc.) must be entered by you or your accountant.
