Trade In Only Customer Order

Process a customer order where the dealership purchases a unit directly from a customer as a trade-in, with no sale unit on the deal.

A Trade In Only Customer Order is used when your dealership is buying a unit directly from a customer — without selling them a unit in return. Instead of processing the purchase through Vendor Unit Receiving, Blackpurl lets you handle it as a Customer Order Unit Deal where the trade-in is the only unit on the deal.

Scenario

The dealership is purchasing a customer-owned unit and needs to pay the customer for it. No sale unit is involved — only the trade-in. Blackpurl handles this through a standard Customer Order Unit Deal, with the sale unit removed at the end so only the trade-in section remains.

How to Process a Trade In Only Customer Order

Part 1: Create the Customer Order and Add the Trade-In

1. Create a new Customer Order and select Unit Deal.

2. Add the customer — this is the person the dealership is buying the trade-in unit from.

3. In the Unit Deal section, find the Deal Actions area and click Add trade-in.

4. Search for or add the customer-owned unit being traded in, then click Save to confirm the selection.

Part 2: Complete the Trade-In Fields

Fill in all required trade-in fields. The fields and their meanings are described below.

Field

Description

Category

The category the unit will be assigned when the trade-in is stocked.

Taxable / Applicable Tax

Whether the unit is taxable and, if so, which tax applies.

Agreed Value

How much the dealership has agreed to pay for the trade-in unit.

Actual Cash Value (ACV) excluding tax

What the unit is actually worth to the dealership. The dealership may over-trade (pay more than ACV), under-trade (pay less than ACV), or exact-trade (pay exactly ACV).

Lien Payout

Whether the customer has a lien on the unit and, if so, how much is owed. Entering a figure here will prompt you to identify the Finance Company. In most situations, the dealership is responsible for discharging the lien before selling the unit on. For more detail, see Trade-In Lien Payout on a Unit Deal.

Appraisal Method

How the unit was appraised — Visual or Service.

Appraisal Status

Whether the appraisal process is complete — Pending Appraisal or Appraisal Complete.

Appraisal Notes

Free text field for any notes recorded during the appraisal.

Appraisal By

The person who carried out the appraisal and determined the trade-in figures.

Part 3: Remove the Sale Unit to Make This Trade-In Only

After completing the trade-in fields, the Checkout section will show a credit reflecting what the dealership is paying for the unit. To tell Blackpurl this is a trade-in only deal, you need to remove the sale unit from the Unit 1 section.

1. Go back to the Unit 1 section and click Remove unit.

3. Only the Trade-In section will remain in the Unit Deal.

Part 4: Approve and Check Out

1. Once the dealership has confirmed the transaction is going ahead, change the Unit Deal status to Approved.

2. Click Checkout.

3. On the Checkout screen, complete the payment to the customer:

  • Ensure the relevant checkbox is ticked.

  • Click the payment type you are using to pay the customer for the trade-in unit.

  • Verify the amount is correct.

  • Click Finalize Checkout.

4. Click Done to complete the transaction.


Result

Once the Trade In Only Customer Order is finalized, the following occurs:

  • The trade-in unit is assigned a stock number and becomes available in inventory — it is no longer a customer-owned unit.

  • The Customer Order closes out.

  • The Customer Order appears under the customer's record.
