This article explains how to create a Unit Deal quote for a unit your dealership has in stock. A quote lets you present pricing, proposed options, and trade-in figures to a customer without committing any stock or finalizing a sale.
Scenario
An existing customer is looking for a quote on a stocked unit. The customer wants to include proposed options and a trade-in, but is not yet committing to a purchase — this is a quote only.
Steps
Part 1: Select the Customer and Order Type
1. Click Sell in the Blackpurl header to open the Sell workspace.
2. Click into the Select Customer section to expand your search options.
3. Use the Select an existing customer field to search by surname, first name, mobile number, or email address. Results appear as you type — click the correct customer to select them.
Tip: If the customer does not yet exist in the system, click CREATE NEW CUSTOMER and complete the Create New Customer screen.
4. After selecting the customer, choose the Customer Order type. Select SELL A UNIT from the options below:
SELL PARTS & ACCESSORIES
START A SERVICE OR REPAIR JOB
SELL A UNIT
Selecting SELL A UNIT adds a new Unit Deal section to the Customer Order.
Part 2: Add the Stocked Unit
1. Click into the Search for a stock unit field and search using keywords such as make/model, VIN, or stock number. Once the unit appears in the results, click it to select.
2. The unit details from the Unit Record — including the base unit price — are now added to the Unit Deal.
If you need to adjust the pricing, click Edit pricing to open the Edit Pricing Details window. Update the base unit price as needed, then click SAVE.
Part 3: Add Options and Fees
1. Add any proposed options and fees by clicking into the Scan and search to add items field in the Options & Fees section and searching for each item. For example, if the customer wants a different muffler installed at the time of purchase, search for the muffler part and add a labour line for the install.
The system will show stock availability at the time of quoting. Keep in mind that because this is still a quote, no stock is committed to this Customer Order.
Repeat this step for each part, fee, or labour line you need to include in the quote until all items appear in the Options & Fees section.
Tip: If the customer wants a quote on more than one unit, click Add another unit in the Deal Action section to add a second unit to the deal.
Part 4: Add a Trade-In (if applicable)
1. If the customer wants to include a trade-in, click Add trade in in the Deal Action section.
The system lists any Customer Owned Units already recorded against the customer's record. Select an existing unit or add a new Customer Owned Unit, then click SELECT.
Complete the trade-in form with the following details:
A. Customer-owned unit to trade | Details of the unit being traded in. |
B. Mileage | The unit's current mileage. |
C. Type | The mileage type (e.g. kilometres or miles). |
D. Category | The category the trade-in unit will be assigned to when it is stocked. |
E. Tax based on the customer address | Whether the unit's tax is calculated based on the customer's address. |
F. Taxable | Whether the trade-in unit is taxable. |
G. Applicable Tax | If the unit is taxable, the applicable tax to apply. |
H. Agreed Value | The amount the dealership has agreed to accept for the trade-in unit. |
I. Actual Cash Value (ACV) excluding tax | How much the unit is actually worth to the dealership. Dealerships can over-trade (trade in for more than the unit is worth), under-trade (trade in for less), or exact-trade (trade in for its actual worth). |
J. Lien payout | Whether the customer has a lien on the unit and, if so, the payout amount. Entering a figure here will prompt you to identify the Finance Company. In most situations, it is the dealership's responsibility to discharge the lien before selling the trade-in unit. See Trade-In Lien Payout on a Unit Deal for further information. |
K. Remove Trade In | Removes the trade-in section from the deal. |
L. Appraisal method | How the unit was appraised — visually or by service. |
M. Appraisal status | Whether the appraisal is complete — Pending Appraisal or Appraisal Complete. |
N. Appraisal notes | Free text field for any notes recorded during the appraisal. |
O. Approved by | The person who conducted the appraisal and determined the trade-in figures. |
P. Plate/Reg # | The trade-in unit's plate or registration number. |
Q. Expiry Date | The expiry date of the plate or registration. |
R. Transfer plate/reg to new unit? | Toggle on if the existing plate or registration needs to be transferred to the new unit. |
If the customer is trading in more than one unit, repeat this step for each additional trade-in.
Part 5: Review and Print the Quote
1. In the Checkout section, review the deal status — it will show as QUOTE. The checkout displays the total calculated price for the unit, all parts, labour, and fees, taking any trade-ins into account.
Click PRINT to print an Offer to Purchase document if the customer requires a copy of the quote.
What Happens Next
The Unit Deal is a quote only — there is no commitment to buy and no stock has been allocated to this Customer Order. If the customer accepts the quote and is ready to proceed with the purchase, see How to Finalize a Unit Deal Sale from a Quotation.
