Process a Unit Deal Quote for a Stocked Unit

Create a quote for a stocked unit in Blackpurl, including options, fees, and trade-ins, without committing any stock or requiring customer commitment.

This article explains how to create a Unit Deal quote for a unit your dealership already has in stock. A quote lets you present pricing, options, fees, and trade-in values to a customer without committing stock or requiring a purchase decision.

Scenario

An existing customer is interested in a stocked unit and wants a quote that includes proposed options and a trade-in. The customer is not committing to a purchase — this is a quote only. No stock is allocated until the quote is converted to a sale.

Steps

1. Click Sell in the Blackpurl header to open the Sell workspace.

2. Click into the Select Customer section to expand your search options.

3. Use the Select an existing customer field to search by surname, first name, mobile number, or email address. Results appear as you type — click the correct customer to select them.

Tip: If the customer does not exist yet, click Create New Customer and complete the Create New Customer screen.

4. After selecting the customer, choose the Customer Order type. Select SELL A UNIT to add a Unit Deal section to the Customer Order.

The other available order types are SELL PARTS & ACCESSORIES and START A SERVICE OR REPAIR JOB.

1. Click into the Search for a stock unit field and search by make/model, VIN, or stock number. Click the unit in the results to select it.

To adjust the pricing, click Edit pricing to open the Edit Pricing Details window. Update the Base Unit Price as needed, then click Save.

3. Add any proposed options or fees by clicking into the Scan and search to add items field in the Options & Fees section and searching for each item. For example, you might add a replacement muffler and a labour line for installation.

Repeat for each part, fee, or labour line you want to include in the quote. The system will show stock availability for each item, but stock is not committed at this stage because the order is still a quote.

Tip: If the customer wants a quote on more than one unit, click Add another unit in the Deal Action section to add a second unit to the deal.

1. If the customer wants to include a trade-in, click Add trade-in in the Deal Action section.

The system lists any Customer Owned Units already recorded against the customer's record. Select the relevant unit or add a new Customer Owned Unit, then click Select. Complete the trade-in fields as described in the table below.

A. Customer-owned unit to trade

Details of the unit being traded in.

B. Mileage

The unit's current mileage.

C. Type

The mileage type (e.g. kilometres or miles).

D. Category

The category the trade-in unit will be assigned to when stocked.

E. Tax based on the customer address

Whether the unit's tax is calculated based on the customer's address.

F. Taxable

Whether the trade-in unit is taxable.

G. Applicable Tax

The applicable tax if the unit is taxable.

H. Agreed Value

The amount the dealership has agreed to pay for the trade-in.

I. Actual Cash Value (ACV) excluding tax

The actual cash value of the unit to the dealership — what it is genuinely worth. Dealerships may over-trade (take it in for more than it is worth), under-trade (take it in for less), or exact-trade (at actual value).

J. Lien payout

Whether the customer has borrowed against the unit and the outstanding amount. If a figure is entered, you will be prompted to identify the Finance Company. In most situations it is the dealership's responsibility to discharge the lien before selling the trade-in unit. See Trade-In Lien Payout on a Unit Deal for further information.

K. Remove Trade In

Removes the trade-in section from the deal.

L. Appraisal method

How the unit was appraised — visually or by service inspection.

M. Appraisal status

Whether the appraisal is complete — Pending Appraisal or Appraisal Complete.

N. Appraisal notes

Free text field for notes recorded during the appraisal.

O. Approved by

Who carried out the appraisal and agreed on the trade-in figures.

P. Plate/Reg #

The trade-in unit's plate or registration number.

Q. Expiry Date

The expiry date of the plate or registration.

R. Transfer plate/reg to new unit?

Toggle on if the existing plate or registration needs to be transferred to the new unit.

If the customer is trading in more than one unit, repeat this step for each additional trade-in.

2. Review the Checkout section to see the deal status (QUOTE) and the calculated total. The total reflects the cost of the unit, all options, parts, labour, and fees, and accounts for any trade-ins.

Click the Print button to print an Offer to Purchase document if the customer wants a copy of the quote.

What Happens Next

The Unit Deal is a quote only at this stage. No commitment has been made and no stock has been allocated to this Customer Order. When the customer accepts the quote and is ready to proceed, see How to Finalize a Unit Deal Sale from a Quotation to convert it to a sale.
