Forms in Customer Orders: Upload, Link, and Attach

Learn how to upload forms to the Form repository, add them to Customer Orders manually or automatically, and attach files to Unit Deals and Service Jobs.

Blackpurl allows you to upload your own forms into the Form repository and make them available on Customer Orders — including Unit Deals, Parts & Accessories orders, and Service Jobs. Forms can be added manually each time, or linked so they appear automatically on every new Customer Order of a given type.

These are forms your dealership provides that are not part of Blackpurl's system-generated forms. For a list of standard forms Blackpurl generates automatically, see Blackpurl Standard Forms Reference. System-generated forms are not stored in the Form repository.

Upload Forms to the Form Repository

Before a form can be used on a Customer Order, it must be uploaded into Blackpurl through System Settings > Form repository.

The Form repository has two tabs: Active Forms and Available Forms.

Active Forms

Active Forms are forms your dealership uploads directly into the repository for use on Unit Deals, Parts & Accessories orders, or Service Jobs. These are static forms with no data mapping — for example, a Terms and Conditions document that must be provided to the customer.

To upload an Active Form:

1. Go to System Settings > Form repository and open the Active Forms tab.

2. Click New Upload and locate the relevant file on your computer.

3. In the New Upload window, complete the Name, Description, and Where does this form get used? fields.

4. Click Save to upload the form.

Each form must be under 25MB in size or it will not upload successfully.

Once uploaded, the form is saved in the Form repository under the section you selected (for example, Unit Deals). It will then be available to add to Customer Orders from the Documents section.

Available Forms

Available Forms are mapped forms where Blackpurl pre-populates the document with information from the Customer Order — useful for documents such as a Contract of Sale or finance paperwork.

To use this feature:

  • Provide your form to Blackpurl along with instructions specifying what information should be mapped to each field.

  • Blackpurl will map the relevant Customer Order data to the form and make it available for use.

  • Once mapped, the form will pre-populate automatically each time it is used in a Unit Deal, Parts & Accessories order, or Service Job.

Add Forms to Customer Orders

There are two ways to add forms from the Form repository to Customer Orders: manually selecting forms on individual orders, or linking forms so they are added automatically to every new Customer Order of a given type.

Option 1 — Add Forms Manually

Use this option when you want to choose which forms appear on a specific Customer Order rather than applying them across all orders of that type.

1. Open the Customer Order (for example, a Unit Deal) and expand the Documents section.

2. Click Add Forms to open the form selection dialog. All forms available for that order type will be listed.

3. Tick the checkbox next to the form you want to add, then click Save.

Option 2 — Link Forms to Automatically Add to Customer Orders

Use this option to have a form automatically appear in the Documents section every time a new Customer Order of a particular type is created — for example, on every Unit Deal.

Linked form management is configured from Account Settings > Linked form management.

To link a form to Unit Deals automatically:

1. Go to Account Settings > Linked form management and click the Deal tab.

2. Click Link a form to open the link dialog.

3. Search for the form you want to link.

4. If you want to prevent staff from removing the form from a Unit Deal, enable the Make this form required toggle.

5. Click Save to confirm.


The form now appears in the linked forms list for Unit Deals.


From this point on, every time a Unit Deal section is added to a Customer Order, the linked form will automatically appear in the Documents section.


Attachments — Attach Files to Customer Orders

In addition to forms from the repository, you can attach files directly to a Customer Order's Documents section. This is useful for documents your dealership needs to keep with a specific order — for example, details of a trade-in agreement or a scanned agreement.

To attach a file, open the Documents section of the Customer Order and click Attach File, then locate and select the file you want to import.

Attachments are available in both the Unit Deal and Service Job sections.


Attached files must be under 25MB in size.
