This article covers what to do in Blackpurl when a customer accepts a Unit Deal quotation on a Customer Order. It walks through each step of the process — from changing the deal status to committing the unit, reviewing figures, finalizing internal sections, and completing checkout.
Before You Start
This process assumes the dealership has already prepared a Unit Deal quotation for a stocked unit. If you still need to create the quotation, see Process a Unit Deal Quote for a Stocked Unit before continuing.
Step 1: Change the Deal Status and Commit the Unit
Navigate to the Customer Order Unit Deal quotation the customer is accepting. On the Unit Deal section header, click the deal status button to open the Change Deal Status window.
Select the IN PROGRESS status by clicking its checkbox, then click Save. Next, set the status to Reserved.
This commits the unit to this Customer Order Unit Deal. The status on the Unit Record updates to Reserved to reflect the commitment.
Step 2: Review All Figures and Sections
Before proceeding, review all figures and sections carefully. It may have been some time since the original quote was prepared, so confirm everything is current.
Pricing
Edit pricing as required to ensure figures are up to date.
Deal Actions
Review the Deal Actions section to confirm whether anything further needs to be added — for example, a trade-in or an additional unit.
Options and Fees
Add any Options & Fees that are part of the unit sale. These are the extra items the customer is purchasing alongside the unit.
Once all options and fees have been added, click Commit and install options in the Deal Actions section.
After committing, the options appear as line items in the Options & Fees section. The install toggle on each line item determines whether a Deal Service or a Deal Merchandise section is created.
Keep in mind that Deal Service and Deal Merchandise sections are internal only.
A Deal Service section is automatically created for options being sold with the unit that require installation. Your service department is responsible for this section and ensuring the work is completed.
A Deal Merchandise section is created for options that are not being installed. Your parts department is responsible for this section, ensuring the part is ordered (if needed) and available for handover to the customer.
Step 3: Finalize Each Section
Before the Unit Deal can be finalized, each internal section must be completed. Work through each applicable section below.
Deal Service
Once all work is completed, the service department changes the Deal Service status to Ready to Invoice. They then finalize the Deal Service section by clicking Finalize Job in the Job Actions section, and confirm by clicking OK in the Finalize Internal Job confirmation dialog.
Confirming the finalization closes the Deal Service job and issues an invoice in the Invoice History section.
Remember: Deal Service is internal only. Any documentation produced should never be given to the customer.
Deal Merchandise
The parts department finalizes the Deal Merchandise section by clicking Invoice to Deal. Tick the items being finalized and confirm the action.
Confirming the finalization closes the Deal Merchandise section and issues an invoice in the Invoice History section. A profitability summary is also available at this stage.
Remember: Deal Merchandise is internal only. Any documentation produced should never be given to the customer.
Deal Financing (if applicable)
Finalize the Deal Financing section. Once the financing has been completed, submitted, and approved, change the Deal Financing section status to APPROVED.
To show full profitability on the Unit Deal, enter the Participation / Commission figure. Note that this figure does not integrate into your accounting package.
Unit Deal Section
Before finalizing the Unit Deal itself, complete the following checks:
Salesperson and Commission Earned — Have you noted the salesperson and commission earned? This enables full profitability to be shown on the Unit Deal. This figure does not integrate into your accounting package. See Setup Customer Order Unit Deal - Salesperson (for commission) (no longer available) for further information.
Trade-In (if applicable) — Have you entered the Agreed Value / ACV and finalized the Approval section? The Trade-In status should show APPROVED.
Once all checks are complete, change the Unit Deal status to APPROVED.
Step 4: Complete Checkout
Once all sections are fulfilled and the Unit Deal status is APPROVED, it is time to finalize the Unit Deal and collect payment. Click Checkout to open the checkout screen.
The checkout screen has three steps:
Select what you want to check out (untick any units you do not want to check out at this time).
Choose a payment method, including finance if applicable.
Type in the amount being paid by that payment method. Repeat steps 2 and 3 for each additional payment method.
Once the checkout total is green, click Finalize Checkout. You will then have the option to Print Invoice or Email Invoice to Customer.
What Happens After Checkout
An Invoice History section is added to the Customer Order. Once all Unit Deals on the Customer Order are finalized, the Customer Order status changes to closed and no further changes can be made.
