The Stocked Trade Clearing account is part of Blackpurl's accounting integration setup. This article covers how and when this General Ledger (GL) account is used, what journal entries it generates, and what restrictions apply. It is Step 4J of the Understanding Accounting Integration series. For the full series, see Accounting Integration Setup: All Steps.
What Is the Stocked Trade Clearing Account
The Stocked Trade Clearing GL account is a clearing account, typically set up as a Current Liability. Because it is a clearing account, it should not maintain a balance for an extended period of time.
This account is used when a trade-in that has been added to a Customer Order Unit Deal is stocked in before the Unit Deal has been invoiced.
How the Account Works
When a trade-in is stocked in prior to the finalization of the Unit Deal, Blackpurl sends the following journal entry to your accounting package:
Debit — Unit Inventory General Ledger
Credit — Stocked Trade Clearing General Ledger
This entry stocks the trade-in unit into inventory and makes it available for the dealership to sell. A trade-in must have a value in your inventory before it can be sold.
Once the Unit Deal is invoiced, Blackpurl sends a second entry to clear the Stocked Trade Clearing GL account, returning it to a zero balance.
Restrictions
Do not manually create accounting entries to this GL account in your accounting application. The Stocked Trade Clearing account should only ever contain entries generated by Blackpurl for stocked-in trade activities. Manual entries will cause the account to fall out of balance with Blackpurl's records.
