The Deal Option Clearing account is a General Ledger (GL) control account used as part of Blackpurl's accounting integration. It is set up as a Current Liability account type and does not usually maintain a balance — it clears automatically once both the Unit Deal and its associated Deal Service or Deal Merchandise are fully finalized. How the Deal Option Clearing Account Works
The Deal Option Clearing GL account acts as a temporary holding account for the value of deal options when there is a timing mismatch between invoicing the Unit Deal and finalizing the related Deal Service or Deal Merchandise. There are two scenarios where this clearing account is used.
Scenario 1: Unit Deal Invoiced Before Options Are Fulfilled
In this scenario, a Customer Order contains a Unit Deal with options that are unfulfilled at the time the Unit Deal is invoiced. The related Deal Service or Deal Merchandise for those unfulfilled options has not yet been finalized.
The value of the unfulfilled options is recorded into the Deal Option Clearing GL account when the Unit Deal is invoiced.
The Deal Option Clearing GL account holds that value until the Deal Service or Deal Merchandise is finalized.
Once the Deal Service or Deal Merchandise is finalized and invoiced, Blackpurl posts a further transaction to the Deal Option Clearing GL account to offset the original entry.
Once both the Unit Deal and the Deal Service or Deal Merchandise are finalized, the Deal Option Clearing GL account is fully cleared for that Customer Order and returns to a zero balance.
Scenario 2: Deal Service Finalized Before Unit Deal Is Invoiced
In this scenario, a Customer Order contains options that have already been fulfilled and the dealership has finalized the Deal Service or Deal Merchandise, but the Unit Deal has not yet been invoiced.
The value of the fulfilled options is recorded into the Deal Option Clearing GL account when the Deal Service or Deal Merchandise is finalized.
The Deal Option Clearing GL account holds that value until the Unit Deal is invoiced.
Once the Unit Deal is invoiced, Blackpurl posts a further transaction to the Deal Option Clearing GL account to offset the original entry.
Once both the Deal Service or Deal Merchandise and the Unit Deal are finalized, the Deal Option Clearing GL account is fully cleared for that Customer Order and returns to a zero balance.
Restrictions
Do not manually create accounting entries to the Deal Option Clearing GL account in your accounting package. All transactions to this account must be generated by Unit Deal activities within Blackpurl. Manual entries will cause the account to fall out of balance and will not reconcile correctly.
