This article is Step 2 of the Understanding Accounting Integration series. The Chart of Accounts (COA) that Blackpurl uses comes directly from your accounting package — QuickBooks Online or Xero — so it must be set up correctly in your accounting package before you can sync it to Blackpurl. To see all steps in the series, see Accounting Integration Setup: All Steps.
About the Chart of Accounts
The Chart of Accounts (COA) is the list of General Ledger (GL) accounts Blackpurl uses to record and integrate transactions with your accounting package. Blackpurl provides a generic COA template for both QuickBooks Online and Xero that you can import directly into your accounting package. This template includes all the specific GL accounts Blackpurl requires for a successful accounting integration.
Requirements Before Syncing
Before syncing your COA to Blackpurl, review the following requirements:
Use Blackpurl's generic COA template as the basis for your accounting package setup. It contains all the GL accounts required for integration.
Ensure each GL account has the correct account type. If the account type doesn't match what Blackpurl expects, your accounting package will reject transactions during integration. For example, Inventory must be mapped to a GL account with the type Current Asset and the detail type Inventory. If the account type is set to Inventory instead, transactions will be rejected.
Your COA will also need GL accounts for operational costs outside of Blackpurl — such as stationery, postage, wages, and utilities. These are specific to your dealership and are not part of the Blackpurl template.
Blackpurl serves many different business types across different regions. Your template may include some GL accounts that your dealership doesn't actively use — this is expected and can be left in place.
Once your COA is finalised in your accounting package, sync it to Blackpurl before proceeding with any GL account mapping.
Syncing Your Chart of Accounts to Blackpurl
Sync your COA by navigating to System Settings > Accounting Integration > 2. Chart of Accounts. The Chart of Accounts section provides the following controls:
A | Click Sync Now to sync the COA from your accounting package to Blackpurl. |
B | Click View Chart of Accounts to review the GL accounts currently synced into Blackpurl. |
C | Removes the COA from Blackpurl. Contact Blackpurl Support before using this option. |
E | Displays the date the COA was last synced into Blackpurl. |
F | Applies the current settings and advances to the next item in the Accounting Integration setup. |
Resyncing After Adding New GL Accounts
You must resync your COA every time you add new GL accounts to your accounting package — especially if you want those accounts to be available in Blackpurl's mapping fields. To resync, navigate to System Settings > Accounting Integration > 2. Chart of Accounts and click Sync Now.
