Opening Balances for Unit Inventory and Parts Inventory
Your opening balances for unit inventory and parts inventory should already be entered in your accounting package. Your Activation Specialist would have entered these figures based on the data your dealership provided to the activation team.
If there is a discrepancy between the figures your Activation Specialist entered and what your old balance sheet shows for unit inventory or parts inventory, discuss this with your accountant to reconcile the difference.

Opening Balances from Your Old Accounting System
If you are switching accounting packages, you must enter the closing balances from your old accounting package as opening balances in your new one. This step is critical — it ensures a smooth transition between systems and keeps your financials continuous.
Entering and verifying these opening balances is the dealership's responsibility. Blackpurl recommends seeking assistance from your accountant to confirm everything is correct.

Accounting Sync Failures
If any transactions fail to sync between Blackpurl and your accounting package, a sync failure notification is automatically sent to the Blackpurl development team for review. In most cases, the team resolves the issue without any action needed from your dealership.
Common causes of sync failures include:
Lost connection between Blackpurl and your accounting package. The development team will re-establish the connection and sync the affected transaction. Your dealership will only be contacted if assistance is needed to reconnect.
Dealership removes access. Blackpurl requires continuous access to your accounting package to sync transactions. If access is removed, the Blackpurl team will contact your dealership to request a new accountant invite.
Duplicate transaction numbers. Xero and QuickBooks Online will reject a transaction if a manually created entry in your accounting package already uses the same number. For example, if you manually created an invoice numbered INV-000012 in your accounting package and Blackpurl attempts to sync a transaction with that same number, the sync will fail. The Blackpurl development team will amend the manually created transaction to a different number so the Blackpurl transaction can sync.
Change of Bookkeeper or Accountant
If your dealership appoints a new bookkeeper or accountant, contact Blackpurl Support to request an accounting integration overview meeting. This meeting gives your new bookkeeper or accountant a clear understanding of how Blackpurl accounting integration works before they begin managing your accounts.
