Order Fulfilment Document: What It Is and How to Print It

Learn what an Order Fulfilment Document is and how to print one from a Customer Order to keep customers informed across multiple shipments.

What Is an Order Fulfilment Document

An Order Fulfilment Document is a printable document generated from a Customer Order that keeps the customer informed about the status of their shipment. It shows three categories of information:

  • What is being shipped in the current shipment, along with the relevant invoice number and tracking number

  • What has already been invoiced, shipped, and its tracking number

  • What is yet to be invoiced and shipped

Before You Start

The Order Fulfilment Document feature requires the Record Tracking Numbers setting to be enabled. To turn this on:

1. Go to Settings > Settings and Controls

2. Open Shop Settings

3. Locate Record tracking numbers and move the toggle to the enabled position

4. Click Apply Settings

Once Record Tracking Numbers is enabled, the Order Fulfilment Document feature becomes available on all Customer Orders.

How It Works: A Multi-Shipment Scenario

The following scenario illustrates how the Order Fulfilment Document works across multiple shipments. A customer has placed an order by phone. Two parts are currently in stock — the customer wants one shipped today and the other shipped next week, along with a third part that is currently on order and will ship when it arrives. This results in three separate shipments, each with its own invoice and tracking number.

First Shipment

When you are ready to send the first part, proceed through the checkout process as normal — select the part to be shipped and the payment type. A new Tracking # field is now available in the checkout screen where you can enter the tracking number for this shipment.

When you click Finalize Checkout, you will be offered the option to print an Order Fulfilment Document.

The generated Order Fulfilment Document includes:

  • A. What is being shipped with this Order Fulfilment

  • B. The invoice number for this shipment

  • C. The tracking number for this shipment

  • D. Advice on what has not yet been shipped

Second Shipment

When you are ready to send the next shipment for this Customer Order, proceed through checkout as normal. You will again have the option to enter a Tracking Number. After clicking Finalize Checkout, you can print a new Order Fulfilment Document.

The updated Order Fulfilment Document will include all three sections:

  • This Shipment — invoice number, tracking number, and the parts included in this shipment

  • Previous Shipment — invoice number, tracking number, and the parts already sent

  • Not Yet Shipped — the parts that have not yet been sent

Third and Final Shipment

When the last part has arrived in stock and you are ready to send the final shipment, proceed through checkout as normal. Enter the Tracking Number for this shipment, then click Finalize Checkout to print the final Order Fulfilment Document.

The final Order Fulfilment Document will include:

  • This Shipment — invoice number, tracking number, and the parts included in this shipment

  • Previous Shipments — invoice numbers, tracking numbers, and the parts previously sent

Tip: Viewing Tracking Numbers on the Parts PickList

All tracking numbers recorded against a Customer Order can be viewed from the Parts PickList in the Note section.
