Before You Start
Backdating Customer Order deposits, payments, and invoices requires specific user permissions. The user must have the backdating permission enabled and also have the ability to modify Customer Orders.

How to Backdate
Blackpurl lets you backdate the date recorded for a Customer Order deposit, checkout payment, or invoice. Each type is handled slightly differently during processing.
A. Customer Order Deposit
You can backdate the payment date when processing a deposit on a Customer Order.
1. Open the Customer Order and click Add Deposit.
2. Select the payment method and type in the amount.
3. On the Add Deposit screen, locate the Payment date field, which defaults to Today.
4. Click change next to the payment date to open the date picker, then select the date you want to use. You cannot select a future date.
5. Click Confirm to lock in the selected date — the date will not save if you skip this step.
6. The updated date now appears as the Payment date on the deposit screen.
7. Click Confirm Deposit to finalise the deposit.
B. Customer Order Checkout Payments
You can backdate the payment date when processing a checkout payment on a Customer Order.
1. Open the Customer Order and click Checkout.
2. Select the items being checked out, choose the payment method, and enter the amount.
3. On the Checkout screen, locate the Payment date field, which defaults to Today.
4. Click change next to the payment date to open the date picker, then select the date you want to use. You cannot select a future date.
5. Click Confirm to lock in the selected date — the date will not save if you skip this step.
6. The updated date now appears as the Payment date on the checkout screen.
7. Click Finalize Checkout to complete the payment.
C. Customer Order Invoice
You can backdate the invoice date when processing a Customer Order checkout.
1. Open the Customer Order and click Checkout.
2. Select the items being checked out, choose the payment method, and enter the amount.
3. Click Add Payment.
4. On the Checkout screen, locate the Invoice date field, which defaults to Today.
5. Click change next to the invoice date to open the date picker, then select the date you want to use. You cannot select a future date.
6. Click Confirm to lock in the selected date — the date will not save if you skip this step.
7. The updated date now appears as the Invoice date on the checkout screen.
8. Click Finalize Checkout to finalise the Customer Order Invoice.
Additional Information
Accounting Integration
If your dealership uses an accounting integration, all transactions will be sent to your accounting package using the backdated Payment date or Invoice date — not the date you processed the transaction in Blackpurl.
Customer Payment Report
When running the Customer Payments report, any backdated payments will appear using the backdated date as the Payment date, not the date on which you processed the payment.
Restrictions
There are a number of situations where Blackpurl will prevent backdating. Understanding these restrictions will save time when processing.
Cash Reconciliation
A backdated payment will appear in Cash Reconciliation on the backdated date. For example, a payment backdated to 21 March 2025 will appear in the Cash Reconciliation for 21 March 2025. However, if you attempt to backdate a payment to a date that has already been reconciled in Cash Reconciliation, Blackpurl will not allow you to select that date.
What Blackpurl Will Not Allow
Blackpurl will block backdating in the following situations:
Future dates — You cannot set a payment or invoice date to a future date.
Invoice date before payment date — You cannot backdate an invoice to a date earlier than the payment date set during checkout. For example, if the payment date is today, you cannot set the invoice date to yesterday.
Date before special order items were received — You cannot backdate a payment or invoice to a date earlier than when special order items were received into inventory. For example, if special order items were received today, you cannot backdate to last week.
Date before a unit was received into inventory — You cannot backdate a payment or invoice to a date earlier than when the unit was received into stock. For example, if a unit was received yesterday, you cannot backdate the payment or invoice to last week.
Date before dealer options were fulfilled — You cannot backdate a payment or invoice to a date earlier than when dealer options were fulfilled. For example, if dealer options were fulfilled today, you cannot backdate to last week.
Date before a Trade-In unit was stocked — You cannot backdate a payment or invoice to a date earlier than when a Trade-In unit was stocked on a unit deal. For example, if the Trade-In was stocked today, you cannot backdate to last week.
