Receive a Customer Payment for a Future Purchase

Record a customer's advance payment in Blackpurl so it appears in End of Day Cash Reconciliation and stays on the customer's record.

When a customer visits the dealership and wants to pay in advance for a future purchase, Blackpurl gives you two ways to record that payment — keeping it visible in your End of Day Cash Reconciliation and tied to the customer's record until they're ready to buy.

Option A: Leave the Customer Order Open

Option A creates a Customer Order and takes the payment as a deposit, then leaves that Customer Order open until the customer is ready to complete their purchase. When they return, you add the relevant section — Service Job, Parts & Accessories, or Unit Deal — to the existing order.

  1. Create a new Customer Order for the relevant customer. See Receive a Deposit on a Customer Order for instructions on taking the deposit.

  2. Leave the Customer Order open. When the customer returns to purchase, add the appropriate section (Service Job, Parts & Accessories, or Unit Deal) to this same order and apply the deposit at checkout.

Option B: Convert the Payment to Store Credit

Option B also starts with a Customer Order and a deposit, but then refunds the deposit as Store Credit so it sits on the Customer Record — closing the original order. There's no open Customer Order to track; the balance lives on the customer's profile and can be applied to any future purchase.

1. Create a new Customer Order for the relevant customer and take the advance payment as a deposit. See Receive a Deposit on a Customer Order for instructions.

2. Once the deposit is recorded, select Refund Deposit on that Customer Order.

3. When prompted to choose a payment type, select Store Credit. This step is essential — selecting any other payment type will not convert the funds to Store Credit on the customer's record.

Result

After completing the refund as Store Credit:

  • The original Customer Order where the deposit was taken closes out automatically.

  • The deposit amount now appears as Store Credit on the Customer Record.

When the customer is ready to purchase, create a new Customer Order, add the relevant section (Service Job, Parts & Accessories, or Unit Deal), and select Store Credit as the payment type at deposit or checkout. The Store Credit can be applied up to its full balance.
