Receive a Deposit on a Customer Order

Learn how to collect a deposit on a Customer Order in Blackpurl, whether a customer isn't ready to order yet or already has an open order.

This article explains how to receive a deposit onto a Customer Order in Blackpurl. There are two scenarios: collecting a deposit before a customer has anything to order, and adding a deposit to a Customer Order that already exists.

Scenario 1: Receive a Deposit Before a Customer Order Exists

Blackpurl allows you to receive a deposit from a customer even if they are not yet ready to order anything. Follow the steps below to collect the deposit and have it held as a credit against the Customer Order.

1. Click Sell in the Blackpurl header to open the Sell workspace.

2. Click the dropdown arrow in the Select Customer section, then click into the Select for an existing customer field. Search for the customer using their surname, first name, mobile number, or email address. As you type, matching results will appear — click the correct customer to select them.

3. Once you have selected the customer, go to the Checkout section and click ADD DEPOSIT.

4. The Add deposit popup window will open. Choose a payment method, enter the amount received as a deposit, then click Confirm Deposit.

5. Once the deposit is confirmed, a Deposit section is added to the Customer Order. This section lists all deposits made and allows you to refund any deposit or add additional deposits. Because nothing has been ordered yet, the deposit will show as a credit in the Checkout section.

To provide your customer with a deposit receipt, click the print/receipt icon — this gives you the option to print or email the receipt.

6. When the customer is ready to purchase and apply the deposit, navigate back to the relevant Customer Order. The deposit credit will already be reflected in the Checkout section.

Scenario 2: Add a Deposit to an Existing Customer Order

Blackpurl allows you to add a deposit to a Customer Order that has already been created — for example, a Parts & Accessories order, a Service Job, or a Unit Deal.

1. Navigate to the relevant open Customer Order that the customer wishes to pay a deposit on.

2. From the Checkout section, click ADD DEPOSIT. The Add deposit popup window will open. Choose a payment method, enter the deposit amount, then click Confirm Deposit.

3. Once the deposit is confirmed, the Customer Order will show a new Deposit section. This section lists all deposits made and allows you to refund any deposit or add new deposits. The running balance in the Checkout section will update to reflect the deposit paid.
