Job Clocking On/Off Other Tasks

Track non-billable technician time in Blackpurl by clocking onto Other Tasks such as workshop cleaning, customer conversations, or deliveries.

Overview

Job Clocking in Blackpurl lets technicians account for all of their time at the dealership — not just billable time spent on Customer Order Service Jobs. By setting up Other Tasks, technicians can clock on and off activities like cleaning the workshop or talking to a customer, giving your dealership a complete picture of how time is spent each day.

Set Up

Before technicians can clock onto Other Tasks, two things must be in place:

  • Staff must be configured in Blackpurl under Account Settings as a Technician with Payroll Clocking and Job Clocking enabled. See Set Up Payroll Clocking and Job Clocking for instructions.

  • The dealership must create a list of Other Tasks that technicians can clock onto.

Create Other Tasks

Other Tasks are non-billable activities you define so technicians can account for time spent outside of Service Jobs. For example, you might create tasks called Talk to Customer and Clean Workshop.

  1. In the Blackpurl header, click Service, then click Job Clocking.

  2. Click the Other Tasks tab, then click Create a new task.

  3. Blackpurl adds a new line item. Type the name of the new task — for example, Clean Workshop — then click Save.

  4. Blackpurl adds the task to the list, making it available for technicians to select.

Repeat steps 2 and 3 to add additional Other Tasks.

Tip: To edit or delete an existing task, find the relevant line item and click the edit (pencil) or delete (trash can) icon on that row.

Job Clocking On/Off Other Tasks

Once Other Tasks are set up, technicians can clock onto them from the Job Clocking screen. The following example shows technician Keith O'Brien clocking onto the Clean Workshop task.

  1. In the Blackpurl header, click Service, then click Job Clocking. The screen lists all open jobs for all technicians.

  2. Click in the Select Technician field and start typing the technician's name. Select the technician from the results that appear. The screen updates to show that technician's jobs.

  3. Click the Other Tasks tab to see the list of available Other Tasks. Find the task you need — in this example, Clean Workshop — and click the green play button to start clocking.

  4. To clock off the Other Task, click the red stop button on that task's row. Alternatively, the technician can clock onto a different Other Task or onto a Service Job — clocking onto a new activity automatically stops the previous one. Manage Other Tasks

The Manage Tasks area lets authorised staff review, edit, add, or delete Other Task clocking entries — for example, to correct an error or review time for a specific date range.

The Manage Tasks screen includes the following controls:

Search by Date Range (start)

Set the start date to filter entries within a specific date range.

Search by Date Range (end)

Set the end date to filter entries within a specific date range.

Select a task

Type a task name to filter the results to entries for that specific task.

Entries list

Lists all clocking entries that match your search criteria.

Add a new entry

Manually add a Job Clocking Other Task entry.

Edit / Delete entry

Click the relevant line item and use the edit (pencil) or delete (trash can) icon to modify or remove an entry.

Change Technician

Displays the technician currently being reviewed. Use this field to search for and switch to a different technician.
