Blackpurl offers two ways to stock units into your inventory. The preferred method uses the Vendor Order and Vendor Receiving process. A manual Add Unit option also exists, but it has significant accounting implications and is only appropriate in specific situations.
Option 1: Vendor Order and Vendor Receiving (Preferred Method)
The Vendor Order and Vendor Receiving method is the correct way to stock units in Blackpurl. This method is required if your dealership uses Accounting Integration, as it properly generates Unit Vendor Tax Invoices and feeds them through to your accounting package.

Option 2: Add Unit (Not Recommended)
The Add Unit option is a manual method for stocking units directly into Blackpurl. Only use this method in the following situations:
During the activation phase, or shortly after, to add units that were missed in the initial data load
Your dealership does not use Accounting Integration and does not need Unit Vendor Invoices sent to an accounting package
If your dealership uses Accounting Integration and you still need to use Add Unit, read the accounting consequences below before proceeding.
Accounting Consequences of Using Add Unit
Using Add Unit when Accounting Integration is active does not send a Unit Vendor Tax Invoice to your accounting package. Instead, Blackpurl processes a journal entry with the following effect:
Debit — Unit Inventory General Ledger
Credit — Stock Adjustment General Ledger
This means your accountant or bookkeeper will need to manually clear the Stock Adjustment General Ledger of these entries and ensure no inventory amounts are duplicated in your accounting package. Notify your accountant or bookkeeper any time you stock units using this method.
How to Add a Unit Using the Add Unit Option
1. In the Blackpurl header, navigate to Sales > Inventory, then click Add Unit.
2. The Create Stock Unit window opens along with a warning dialog. Read the warning carefully, then click Ok to acknowledge it.
3. Fill in the unit details from the top of the Create Stock Unit form.
4. Click Save when you have finished entering the unit details.
Result
The unit is added as a stock unit in Blackpurl. If your dealership uses Accounting Integration, a journal entry is automatically sent to your accounting package — debiting the Unit Inventory General Ledger and crediting the Stock Adjustment General Ledger.
Inform your accountant or bookkeeper whenever you use this method. They will need to clear the Stock Adjustment General Ledger, confirm there are no duplicate inventory entries, and reconcile Blackpurl with your accounting package.
