The Invoice History drawer lists every invoice that has been finalized from the customer order and lets you print, email, or reopen them. This article explains what the drawer contains and walks through the steps to reopen an invoice.
Permission control
The ability to reopen an invoice is limited to only those users which have the Special Actions > Reopen finalized invoice permission enabled.
Drawer Icon
The Invoice History drawer is only available once at least one invoice has been finalized for the customer order and is represented by an icon in the drawer listing.
The Invoice History Drawer
The Invoice History drawer displays a list of all finalized invoices issued from the order. The invoices are by default sorted with the oldest invoice listed first.
For each invoice listed you are provided with the following detail for each: Invoice number, Invoice date, Number of items on the invoice, Invoice subtotal, Total taxes, Invoice total. When an accounting integration is enabled the current A/R balance of the invoice is also included.
Each invoice row also shows action buttons for Print, Email, and Reopen. The drawer is only accessible when the customer order has at least one invoice.
You are also provided with actions to Print/Email the invoice or to Reopen the invoice.
Reopening an invoice
The user performing the reopen action must have the Reopen Finalized Invoice permission enabled for their account.
Accounting integration restriction
If your dealership uses an accounting integration, an invoice cannot be reopened if changes have already been made to it inside your accounting package (Xero or QuickBooks Online). Changes that block reopening include:
Payments received against the invoice in the accounting package
Changes to invoice descriptions or invoice numbers
Steps to Reopen an Invoice
Follow these steps to reopen an invoice from the Invoice History drawer. Customer orders can be closed — the invoice is still accessible via the drawer.
Open the customer order the invoice was issued from.
Open the Invoice History drawer from the right-side drawer panel.
Locate the invoice you want to reopen. Some customer orders have multiple invoices listed — confirm you have the correct one selected.
Click the reopen action button on the invoice row to open the Re-open Invoice dialog.
Blackpurl runs a series of system verification checks to confirm the invoice can be reopened. The checks vary depending on the section the invoice originated from (Unit Deal, Service Job, Parts and Accessories, etc.). All checks must pass before you can proceed.
Failed verification
If any check fails, you will not allowed you to proceed with reopening the invoice. Read the failure message carefully — it explains why the check failed and what action, if any, you can take to resolve it.
If you are unsure how to resolve a failure, contact Blackpurl Support and include a screenshot of the failure message along with the customer order number and invoice number you were working with.
Successful verification
When all checks pass, click Re-open to confirm the reopening.
What Happens After Reopening
After an invoice is successfully reopened, the following changes take effect:
The customer order is reopened if it was previously closed.
All references to the invoice are removed from both Blackpurl and your accounting package.
The status of the customer order section the invoice originated from reverts so that additional work can be completed.
Any payment that was processed in Blackpurl and attached to the invoice remains in Checkout, ready for you to reinvoice when required.
If a customer order has multiple invoices that need to be reopened, each must be reopened separately by repeating this process. It is the dealership's responsibility to reinvoice once an invoice has been reopened.
