BP2CO Drawer: Deposits

The Deposits drawer gives you a single, centralized place to view, add, and manage all deposits for a customer on a Customer Order. Open it from the drawer icon bar on the right side of the Customer Order screen.

The Deposits drawer is represented by an icon in the drawer listing. The drawer is only available once at least one deposits has been recorded on the customer order.

Viewing the Deposits Drawer

Opening the Deposits drawer shows a list of all deposits recorded on the customer order and each instance of when a deposits was used in Checkout.

First time adding a deposit

When the customer order has yet to have any deposits added to it, meaning that the Deposits drawer is not exposed, use the Deposits button in the header of the customer order to create a deposit.

The Deposit screen presented to you is the same screen as described below for the same action in the Deposits drawer.

Add a deposit

To add a deposit to the customer order, select the "Deposit" button in the header of the Deposits drawer which will give you an Add Deposit screen.

Selecting a Till and Terminal

In the header of the Deposit screen you will find the Till and Terminal settings. The Terminal setting will only be available when you have a payment processor enabled. You only need make a selection for either of these if you have multiple Tills or Terminals, otherwise they will be set for you.

Once you make your selections, the application will remember your choices so that you would only need to adjust them when you want to change to a different Till or Terminal.

Setting the Payment Date

You can then adjust the payment date if you need to back date the deposit if necessary.

Selecting a Payment Method

You then need to select what payment method to use for the deposit.

Assigning the Deposit to the Unit Deal

Only when the customer order contains a Unit Deal, you will be given the ability reserve the deposit so that it can only be used when invoicing the deal. If the deposit can be used for anything on the customer order, then select the "Customer Order" option.

Lastly, you can optionally enter a Reference # for the deposit. For example check number when using the Check payment method.

Selecting "Confirm" will add the deposit to the customer order.

Using Store Credits as Deposits

If the customer has Store Credits available on their account, they can be used to record a deposit on a customer order by using the special payment method that will be provided. You can use some or all of these amounts in Deposits.

Payment Method Surcharges

Some payment methods may have a payment method surcharge associated with them. When enabled, this will expose additional values for the surcharges in the deposit amount area.

​If you have the Special Actions > Modify payment method surcharge permission enabled, you will also have the ability to adjust the surcharge rate being applied.

When payments with surcharges are added in Deposits, they are reflected in the Deposits drawer as seen here:

Reversing a Deposit

In the Deposits drawer, each deposit processed will have a reverse icon available. When selected the payment will be reversed as seen in this before and after:

Refunding a Deposit

At some point you may need to refund a deposit to the customer, sometimes partially and sometimes using a different payment method.

For this there is a "Refund" in the header of the Deposits drawer which will give you an Refund Deposit screen. The steps you take here are the same steps described above for Adding a Deposit.
