BP2CO HowTo: Backdate Deposits, Payments, and Invoices

Blackpurl lets you backdate the date used for a Customer Order deposit, checkout payment, or invoice. Use this when a transaction occurred on an earlier date and your records need to reflect that.

Permission Control

Backdating requires specific user permissions. Your Blackpurl account must have both the Special Actions > Backdating permission enabled as well as the ability to modify Customer Orders. Contact your administrator if either permission is missing.

Backdate a Deposit

You can set a past date when taking a deposit on a Customer Order using the Payment Date field in the add deposit screen.

  1. Open the Customer Order and click Add deposit in the header.

  2. Select the till and terminal, then choose a payment method and enter the amount.

  3. Click Payment Date to open the date picker. Select the date you want to use. You cannot select a future date.

  4. Click Confirm in the date picker to lock in the selected date. The date will not save if you skip this step.

  5. Click Confirm at the bottom of the deposit modal to complete the deposit.

Backdate a Checkout Payment

You can set a past payment date when processing a checkout payment on a Customer Order. The Payment Date field appears in the Payment section of the checkout modal.

  1. Open the Customer Order and click Checkout in the header.

  2. In the Select Items section, choose the items to check out.

  3. In the Payment section, choose a payment method and enter the amount.

  4. Locate the Payment Date field below the payment method. It defaults to today.

  5. Click Payment Date to open the date picker. Select the date you want to use. You cannot select a future date.

  6. Click Confirm in the date picker to lock in the date.

  7. Click Add to record the payment, then click Finalize Checkout to complete the transaction.

Backdate an Invoice

You can set a past invoice date during checkout. The Invoice Date field appears in the checkout modal footer (below the three columns) once items are selected and the balance is fully paid to zero.

  1. Open the Customer Order and click Checkout in the header.

  2. Add your payment as described in the section above.

  3. In the checkout modal footer (below the columns), locate the Invoice Date field. It defaults to today.

  4. Click Invoice Date to open the date picker. Select the date you want to use. You cannot select a future date, and you cannot set the invoice date earlier than the payment date.

  5. Click Confirm in the date picker to lock in the date.

  6. Click Finalize Checkout to complete the transaction.

How Backdating Affects Your Data

Backdated dates flow through to your reports and accounting package — Blackpurl uses the date you set, not the date you processed the transaction.

  • Accounting integration — Transactions sent to your accounting package use the backdated Payment Date or Invoice Date.

  • Customer Payments report — Backdated payments appear using the backdated date as the Payment Date, not the processing date.

  • Cash Reconciliation — A backdated payment appears in Cash Reconciliation on the backdated date. For example, a payment backdated to 21 March 2025 appears in the 21 March 2025 Cash Reconciliation, not today's.

Restrictions

Blackpurl will block backdating in several situations. Understanding these restrictions prevents delays when processing transactions.

  • Future dates — You cannot set a payment or invoice date to a future date.

  • Already-reconciled dates — You cannot backdate a payment to a date that has already been reconciled in Cash Reconciliation.

  • Invoice date before payment date — You cannot set the invoice date earlier than the payment date. For example, if the payment date is today, you cannot set the invoice date to yesterday.

  • Date before special order items were received — You cannot backdate to a date earlier than when special order items were received into inventory.

  • Date before a unit was received into inventory — You cannot backdate to a date earlier than when the unit was received into stock.

  • Date before dealer options were fulfilled — You cannot backdate to a date earlier than when dealer options were fulfilled.

  • Date before a trade-in unit was stocked — You cannot backdate to a date earlier than when a trade-in unit was stocked on a unit deal.
