Blackpurl can be fully integrated with QuickBooks Online - this article will cover a few important details that you must be aware of



QuickBooks Online vs QuickBooks Desktop


As Blackpurl is cloud-based and for Blackpurl accounting integration to work, you must be using QuickBooks Online


What is the difference between QuickBooks Online and QuickBooks Desktop?


  • QuickBooks Online is cloud-based and normally you would pay a monthly/annual fee to QuickBooks for this service
You can access QuickBooks Online on any device, anywhere - all it requires is an Internet connection and for you to know your login name and password.  All transactions are backed up automatically to the cloud


  • QuickBooks Desktop is when you buy the software for a one-time fee
The software is installed on one computer only and that means all processing must be completed from that computer.  An internet connection is not required.  You are responsible for backing up your own data


QuickBooks does offer a tool to transfer your QuickBooks Desktop data over to QuickBooks Online

We would recommend that you take a look of the tools offered by QuickBooks




QuickBooks Online - Plans / Subscriptions


Please be aware that some of the QuickBook Plans / Subscriptions do not allow full integration

For example - the USA QuickBooks Simple Start Plan does not allow the integration of any Vendor Invoices


The minimum QuickBook Online Plan for full integration is ESSENTIALS


Information for Existing QuickBooks Online Users:


If you are already using QuickBooks Online in your business, you may need to add additional General Ledger Accounts (GL) into the Chart of Accounts (COA) in your QuickBooks Online that Blackpurl will need for integration

Please contact the Activation Team for the up to date list of Blackpurl required GLs

You may already have similar GLs setup in your COA but you will need to check that they have the same Type and Detail Type


Keep in mind that sometimes it may be easier to just add new GLs to your COA



Information for New QuickBooks Online Users:


The link to sign up for QuickBooks Online is https://quickbooks.intuit.com/online/

If you are looking to sign up for QuickBooks Online for the first time, this would be a good time to have a discussion with your Accountant

Your Accountant may be able to provide you with a COA template that they want you to use that can be imported into QuickBooks Online. It also may be the case that you wish to use the template that QuickBooks Online already provides

If you have a COA that you wish to use and you need assistance to import it into QuickBooks Online, please discuss this with the Activation Team

There will be no need for you to import your Customers and Vendors into QuickBooks Online

As Blackpurl will be requiring a list of your Customers and Vendor for importing into Blackpurl, we will sync these Vendors and Customers into your QuickBooks Online at the same time



Please note:

It is the Dealership's responsibility for entering in the opening balances (from your previous Balance Sheet and Income Statement) into your new QuickBooks Online

Granting Blackpurl Access to your QuickBooks Online 


For Blackpurl  to be able to assist in setup and provide ongoing support for your accounting integration, we will need access (and continuous access) to your QuickBooks Online

QuickBooks Online charge per user so instead of adding Blackpurl as a user, please add Blackpurl as an Accountant by completing the following steps:


  • In QuickBooks Online, click on User-added image > Manage Users



  • Click on User-added image

  • The Enter Accountant's email Address window will pop up


  • In the Accountant's email address field - type in the Blackpurl's relevant email address, based on what QuickBook Online version you have:

For QuickBooks Online USA version - type:  quickbooks.usa@blackpurl.com

For QuickBooks Online International version - type: quickbooks@blackpurl.com

For QuickBooks Online Australian version - type: quickbooks.au@blackpurl.com

Retype the email address in Confirm email field then click on User-added image

  • The Finish inviting accountant window will pop up for you to click on User-added image

  • QuickBooks Online will send Blackpurl an invite to join as an Accountant


  • Once Blackpurl accepts the invite, Blackpurl will be able to access to your QuickBooks Online and start the setup process
