Oversold Stock: Understanding and Resolving It

Learn what oversold stock is in Blackpurl, why it matters, how to find it, and how to fix it — including the accounting impact.

Why Managing Oversold Stock Matters

Oversold stock occurs when parts are sold on a Customer Order despite no stock being on hand. Keeping oversold stock under control is important for several reasons:

  • Your inventory levels stay accurate

  • Oversold situations are caught and resolved quickly before they compound

  • If your dealership uses an integrated accounting package, your inventory values remain correct

What Is Oversold Stock

Oversold stock happens when a user sells a part on a Customer Order and Blackpurl indicates there is no stock on hand, but the user chooses to push the sale through anyway. When adding that line item to the Customer Order, Blackpurl prompts the user to confirm they are forcing an oversold situation.

User Permission to Oversell

Not every user can oversell stock. To oversell, a user must have the Oversell Inventory user permission enabled. If you do not want your dealership to oversell at all, ensure this permission is disabled for all users.

What Can Cause the Need to Oversell

Common situations that lead to overselling include:

  • A Vendor Receiving has not been started or finalised, so stock that has been ordered has not yet been added to inventory

  • A user sold the wrong part — for example, a large instead of a small — without noticing

  • The dealership found a physical part and sold it without first writing it into stock

How to Find Oversold Stock

Every oversold situation should be investigated to understand how it occurred and resolved accordingly. It is worth developing a dealership process for handling oversolds — for example, deciding whether manager sign-off is required and who is responsible for fixing them.

To find your oversold stock, run a Recent Parts report:

1. Open the Reporting section and run the Recent Parts report.

2. Click the filter dropdown and change the Modified parameter to Anytime — this lets you see all oversold parts regardless of when they were created.

3. Click Apply and add a filter for Oversold Qty. Set the condition to Greater than 0.

4. Click the search/apply button to update the results.

5. Click the add columns button and add the Oversold Qty column, then click Done.

How to Fix Oversold Stock

There are two options for resolving oversold stock, depending on your situation.

Option 1: Use the Resolve Oversold Action

Use this option when you need to manually correct an oversold part record. Before resolving, investigate why the part became oversold.

1. Navigate to the relevant Part record.

2. Click or scroll to the D. Cost Tracking section.

3. Review and investigate where the item became oversold.

4. Confirm the quantity that has been oversold.

5. From the Actions menu, select Resolve Oversold.

6. The Resolve Oversold Stock screen will open for review.

To review past oversold transactions, open the relevant Part record, go to the D. Cost Tracking section, and click Show History.

Option 2: Use the Reallocation of On Ordered Parts Action

If the dealership has a Vendor Order for parts that have been oversold, the received stock can be allocated to satisfy those oversells when processing a Vendor Receiving. Accounting Integration

If your dealership uses an integrated accounting package, resolving oversold stock creates accounting entries. The behaviour differs depending on which resolution option you use.

If You Use Option 1 — Resolve Oversold Action

The Resolve Oversold action creates a transaction that integrates into your accounting package to correct your Inventory General Ledger. To understand the full picture:

  • When the oversell originally occurred on the Customer Order, a transaction was sent to your accounting package that reduced inventory — recording stock that had not actually been received.

  • When you resolve the oversold, Blackpurl corrects your inventory values using a Stock Adjustment General Ledger entry.

For example, when an oversold is resolved, the journal entry that corrects your Inventory General Ledger is:

  • Debit — Adjustment General Ledger

  • Credit — Inventory General Ledger

The General Ledger accounts used by the Resolve Oversold action are determined as follows:

  • Debit General Ledger — set under Accounting Integration > Control Accounts > Inventory Adjustments

  • Credit General Ledger (Inventory) — based on the category assigned to the Part record, and the Inventory General Ledger account attached to that category


If You Use Option 2 — Reallocation of On Ordered Parts Action

The Vendor Receiving process automatically corrects your Inventory General Ledger. No separate entry is posted to the Stock Adjustment General Ledger — the correction forms part of the stock receiving transaction instead.
