This article covers the reports Blackpurl recommends Service Managers run on a regular basis. At minimum, these reports should be run weekly — discuss with your Service Manager what cadence works best for your dealership.
Your Service Workspace also surfaces important metrics at a glance. If you monitor those key figures closely, you may not always need to run the full reports — but the reports below give you the complete picture.
Getting Started
All reports listed here are accessed through Blackpurl Header > Reporting > Reports - Common Search. Each report comes with default parameters and columns suited to that report, but you can adjust parameters and columns to match your needs.
Before running these reports, review the following article for guidance on totals, changing columns, changing parameters, exporting results, saving custom reports, scheduling, and favourites: Reporting Tips and Tricks.
Special Order Summary
The Special Order Summary report lists all Special Order Customer Orders and their current status — for example, All in Stock, Need to Order, or Order Submitted. Service Managers can use this report to identify Customer Orders with a Sales Type of Service where parts have arrived and the unit can now be booked in for work.
To filter the report to your department only, add the Sales Type: Service parameter. Once filtered, click any Customer Order (CO) number shown in blue to open that individual CO.
For full details on this report, see Special Order Summary Report.
Payroll Hours, Technician Hours, and Technician Performance
These three reports should be used together to assess how efficient, proficient, and productive your technicians are. Run them as a set rather than in isolation.
Payroll Hours — tracks clocked hours for payroll purposes
Technician Hours — shows hours logged against service jobs
Technician Performance — measures efficiency and productivity across technicians
These reports are covered in detail in their own articles:
Service Jobs Reports
The Service Jobs section of the Reporting screen includes three reports that should each be reviewed on a regular basis: Open Service Jobs, Claim Service Jobs, and Active Service Sublets. Click any item in the list to go directly to the relevant report.
Pay particular attention to jobs with a status of Completed — a completed status means the job is done and should be closed out promptly. As Service Manager, you are responsible for keeping your Service Department moving: chasing the Parts section for required parts, closing out Service Jobs, and managing any Deal Service work.
