Unit Product Types and Unit Data Fields

Configure custom data fields for each unit product type and include them in unit records and reports.

Unit Product Types and Unit Data Fields

Unit Product Types let your dealership define categories of units you sell — such as Trailers, Golf Carts, Motorcycles, or Powersports — and attach custom Unit Data Fields to each type. Those fields then appear on any Unit Record assigned that product type, and can also be exposed on service, deal, and order documents. You can also use Unit Data Fields as filters and columns in Unit Reports.

Setting Up Unit Product Types

Unit Product Types are configured under System Settings > Settings and Control > Unit Product Types. Every dealership starts with a Generic Product Type, which you can modify to suit all your units, or you can create additional product types for each unit category you sell.

  • To modify an existing product type, click the edit icon next to it and work through the Unit Product Type & Data Fields dialog.

  • To create a new product type, click ADD PRODUCT TYPE and complete the same dialog.

The Unit Product Type & Data Fields dialog contains the following sections:

A. Product Type Name

The name of this Unit Product Type (for example, Trailers, Motorcycles, or Golf Carts).

B. Active

Controls whether this Product Type is active in Blackpurl. Toggle on or off as needed.

C. Default

Sets this Product Type as the default applied to new Unit Records when a unit is received into stock. Toggle on or off as needed.

D. Unit Details Tabs

Each tab contains a set of Unit Data Fields available for selection. Click a tab to see the available fields and make your selections.

E. Unit Data Fields

The fields listed under each tab. For each field you can set: Field Name (the label shown on the record), Field Type (text, long text, number, date, etc.), Active (check or uncheck to enable the field), and Expose on (select Service documents, Deal documents, and/or Order documents to include the field on those document types).

F. Save

Click Save when you have finished making your selections.

Where Unit Product Types and Unit Data Fields Appear in Blackpurl

Once configured, Unit Product Types and their associated Unit Data Fields appear in several areas of Blackpurl.

Unit Records

On any Unit Record, click Edit to fill in the Unit Data Fields associated with that record's product type.

Customer Owned Unit Records

On any Customer Owned Unit Record, click Edit to fill in the Unit Data Fields for that unit.

Unit Ordering

Unit Data Fields are also available when creating a new Order Unit.

Reporting on Units Using Unit Data Fields

When generating any Unit Report — such as the Stock Unit Report or Stock Unit Valuation — you can use Unit Data Fields as search filters and as additional columns in the report. The examples below use Hours as a sample Unit Data Field to demonstrate both options.

Using a Unit Data Field as a Search Filter

You can filter any Unit Report by a Unit Data Field value to narrow the results to only units that match your criteria. To filter by a Unit Data Field:

1. Open the Unit Report you want to run (for example, the Stock Unit Report).

2. Add the Unit Data Field as a report filter. In the example below, the filter is set to Hours.

3. Enter the value you want to search for — for example, 5 to find all units with 5 hours.

4. Run the report. The results will show only units where that Unit Data Field matches the value you entered.

You can apply this type of filter for any Unit Data Field you have configured.

Adding Unit Data Fields as Report Columns

You can also add Unit Data Fields as additional columns in any Unit Report. To add a Unit Data Field column:

1. Open the Unit Report you want to run (for example, the Stock Unit Report).

2. Click the column selector (the plus icon with a dropdown arrow) to open the column picker.

3. Search for the Unit Data Field name you want to add and check its checkbox to include it.

4. The report will refresh with that field displayed as a column alongside the standard report columns.

You can add as many Unit Data Field columns as you need to any Unit Report.
