What is the Website Product Management Tool
The Website Product Management tool is the connection between Blackpurl and your Shopify store. It gives your dealership full control over which inventory part items are synchronised from Blackpurl, including quantities and prices. Orders placed in your Shopify store automatically create a Customer Order in Blackpurl.
Blackpurl is the source of truth. Any changes made to Blackpurl Part records that are attached to Shopify products are synced across to those Shopify products. Syncing is one-way — changes made directly to your Shopify products are not synced back to Blackpurl Part records.
Before You Start
The following must be completed before using the Website Product Management tool:
Connectivity between your Shopify store and Blackpurl must be established. If this has not been done, refer to Install the Super Connector for Blackpurl and Shopify.
All setup configurations must be completed. If this has not been done, refer to Set Up Shopify Integration Settings in Blackpurl.
The integration fee must be discussed and agreed with the Blackpurl Sales Team before your dealership can begin. Contact the Blackpurl Sales Team at [email protected].
How to Access the Website Product Management Tool
From the Blackpurl header, navigate to Tools > Website Product Management.
Basic Navigation of the Website Product Management Screen
The Website Product Management screen shows which Shopify store Blackpurl is connected to at the top of the page.
The Poll Website button fetches the latest link status from your Shopify store and displays the results on screen. Use Poll Website only when checking whether any unlinked parts exist — it is not a substitute for refreshing the browser. Do not use Poll Website while products are in the process of syncing, as this breaks the connection momentarily and will log an error.
The layout of the rest of the page depends on your dealership's current situation:
Scenario 1: When no products have been created in your Shopify store, the landing page shows an empty state with no product listings.
Scenario 2: When you have an existing Shopify store with products already linked to Blackpurl parts, the screen displays a full listing of all Shopify store products.
Column Headers
The product listing includes the following columns:
Status | Shows the current link status of each product line item. See the status descriptions below. |
Website Product | Lists all products linked to your Shopify store. Each product name is hyperlinked — click it to open the corresponding product page in your Shopify store. |
Variant options | Shows part variants under a single product. For example, a shirt available in black or white under one part number would be listed as "Part A - White" and "Part A - Black" as variants of a single product. You cannot create separate products for each variant — they must be listed as variants under one product. |
Vendor | The vendor attached to the Shopify store product. Do not publish a link if the Vendor record in your Shopify store and Blackpurl do not match — this will create an unrecognised part. |
Blackpurl Part | Indicates which Blackpurl part the Shopify store product is linked to. Use the searchable drop-down to find and attach a Blackpurl part. |
Ignore product | Click the Ignore toggle to exclude a product from linking. No Blackpurl part will be shown for that line. This can be changed later if you decide to publish the product to your Shopify store. |
Product Statuses
The Status column uses the following statuses:
New | Shows an existing product in your Shopify store that is available for linking to a Blackpurl part. |
Linked | Shows that the product is already linked between Blackpurl and your Shopify store. |
Ignored | Shows that the product has been marked as ignored by the user and excluded from linking. |
Syncing | Shows products currently syncing with the Shopify store. These products are in a disabled state during sync. |
Error | Shows products that could not be synced between Blackpurl and Shopify. These products are in a disabled state. |
Use the Status: All filter at the top of the list to display only products with a specific status. At least one status must remain selected — you cannot uncheck all statuses at once.
Linking Existing Shopify Published Products
Use this workflow when you have an existing Shopify store with products already created and you need to link them to Blackpurl parts (Scenario 2).
1. Filter the list to show only New status products. Click Status: All to open the filter drop-down, then uncheck all statuses except New.
2. In the Blackpurl Part column for each product, use the searchable drop-down to find and select the Blackpurl part to link. Click the blue product name under the Website Product heading to open the corresponding Shopify product page if you need help identifying the correct part number.
3. As soon as a part is added to a line item, that line item turns blue and a bottom bar appears with options to Review & publish changes or Cancel.
4. If you do not want to link a product to a Blackpurl part, click the Ignore toggle on that line item. The input field disappears and the line item turns blue. You can also update an existing linked product with a different Blackpurl part to correct a publishing error.
5. To delete a product, click the delete icon on the line item. The product will be deleted from your Shopify store. A confirmation message will appear before the deletion is processed.
6. If you navigate away from the page after making changes without saving, a warning message appears asking whether you want to leave or stay.
7. From the warning:
Click Cancel to return to the product list with all your changes still selected.
Click Save to publish the changes (Step 8 will then occur).
8. Click Publish changes to confirm and apply your changes. A confirmation modal appears. If you uncheck all products in the modal, a Discard changes button appears instead.
9. After clicking Publish changes or Discard changes, you are returned to the landing page.
Filtering Options
When the product list contains many Shopify store products, use the status filter to narrow the results.
1. Click Status: All to open the filter selection box. Check or uncheck the relevant statuses to filter the list. At least one status must remain selected. For example, to see only unlinked products, select only the New status filter.
2. Active filters are highlighted in dark on the filter bar.
3. If no products match the applied filters, the screen displays a message indicating no results were found.
Poll Website
The Poll Website feature searches your Shopify store for the latest product link status results and displays them on screen.
Warning: Do not use Poll Website while products are in the process of syncing. This breaks the connection momentarily and will cause an error to be logged. Your page will be obscured during the polling process and you will not be able to perform other actions until it completes.
1. Click the Poll Website button. A confirmation message appears.
2. Click Yes, proceed to start the poll. You will not be able to perform other actions until the sync process is complete. Depending on the number of unlinked (new) parts, this process may take some time. Two status messages will appear one after the other with a fade in / fade out animation until the update is complete.
Workflow for Creating Shopify Products
Use this workflow to create new Shopify products from existing Blackpurl parts and publish them to your Shopify store.
1. Click Create products from the Website Product Management landing page.
2. A new modal window opens displaying all Blackpurl parts in list form. Part names are hyperlinked and open the relevant part record. Search and filter options are available:
Search parts by Name or Description
Filter by Vendors, Tags, Categories, or Date created
When a filter is active, it is highlighted in dark. If only one filter is applied in a category, the filter name displays next to the category label (for example, "Vendors: BRP Customer Test"). When more than one filter is applied in a category, the count displays instead of the name.
3. Select the parts you want to create as products and click Create products from selected. When working with large result sets, entries load in defined batches. If you select all using the bulk checkbox at the top, the action applies to the total number of results across all pages. Use the Top button at the bottom right of the screen to return to the top of the list.
4. In the Product title field, the original part description is pre-filled by default. Edit the product title if you want it to display differently in your Shopify store. If the product title field is blank for any part, the Publish products button will remain inactive (shown in faded green) until all titles are filled in.
5. Choose how to publish the products:
Click Publish products to create active products on your Shopify store that are immediately visible to customers.
Select the Publish as draft checkbox, then click Publish products to create the products as drafts. Draft products are not visible to customers until the store owner changes their status to Active in Shopify — this allows time to add descriptions, images, and other details before going live.
6. If you navigate away from the page without saving, a warning message appears asking whether you want to leave or stay. Click Cancel to return to the modal with your selections intact, or click Save to publish the changes.
7. After clicking Publish products, you are redirected to the landing page. New products initially show a Syncing status. Once successfully linked, they change to Linked status. Products that could not be linked show an Error status.
Workflow for Creating Shopify Store Product Variants
Use this workflow to create a single Shopify product with multiple variants — for example, a T-shirt available in different sizes or colours where each size/colour is a separate Blackpurl part.
1. Click Create product with variant from the Website Product Management landing page.
2. A new modal window opens displaying all Blackpurl parts in sequence. Search and filter options are available:
Search parts by Name or Description
Filter by Vendors, Tags, Categories, or Date created
3. Select all parts that will be added as variants of the single product, then click Combine as variants.
4. A single product is created with one Product name field. Enter the product name — this is what your customers will see when shopping in your store.
5. Click Add option to create and assign options to each product variant.
6. A modal window opens for adding option details:
Enter the Option name (for example, "Size" or "Colour")
Enter the different Values separated by commas (for example, "S, M, L" or "Black, White")
Click Save
7. The modal updates to show the Option name at the top and a drop-down for each part line item where you can select the corresponding value. You can add multiple option names to a single product (for example, both Size and Colour). Once at least one option has been added, the Add option button changes to Add & manage options.
8. Select the option values for each part and click Save variants. This creates a new product with multiple variants in your Shopify store.
Workflow for Adding Variants to Existing Products
Use this workflow to add new variants to a product that is already linked in your Shopify store.
1. From the Website Product Management home screen, click the Create & manage variant icon next to the product you want to update. This icon is only available for products with a Linked status.
2. A modal window opens showing the existing variants for that product. Click Add variant to add a new variant.
3. Search for the part to add as a variant, select it, and click Combine as variants.
4. After the parts are added as variants, create new options and/or option values and assign those values to the new parts to proceed. Alternatively, delete the new parts to proceed without adding them.
5. After creating and assigning new option values, click Save variants to apply the changes.
Workflow for Adding Options to Existing Products
Use this workflow to add new option names (such as an additional attribute like Colour when Size already exists) to a product that is already linked in your Shopify store.
1. From the Website Product Management home screen, click the Create & manage variant icon next to the product you want to update. This icon is only available for products with a Linked status.
2. A modal window opens showing the existing variants. Click Add & manage options to add a new option name.
3. A modal opens for adding the new option. Enter the new Option name and its Values, then save. Adding a new option changes the available values in the drop-downs — for example, if Size (S, M) and Colour (Black, Red) are both defined, the combined values become "S, Black", "S, Red", "M, Black", "M, Red", and so on. You can add a maximum of 3 option names. Existing options can be edited or deleted.
4. After saving the new option, you are returned to the variant modal. Red error boxes appear because the previous option values are no longer valid — the parts need to be linked again with the new combined values. Previous option values are shown in a disabled state.
5. Select the new option values for each part from the drop-downs. Once a value has been assigned to one part, it is disabled in the drop-downs for other parts to prevent duplicate assignments.
Workflow for Displaying Shopify Store Product Variants
When variants have been defined for a part, they are visible directly from the Blackpurl Part record.
1. Open the Blackpurl Part record for the relevant part. Any defined variants are listed within the record.
2. Click Manage variants to open the variants screen, which displays all variants attached to that part for review and management.
