Reporting Tips and Tricks

Learn how to run, customize, export, save, and schedule reports in Blackpurl's reporting module.

Blackpurl's reporting module gives you a range of tools to find, shape, and share the data you need. This article covers nine tips for getting the most out of reporting — from running your first report to scheduling automated deliveries.

Tip 1: Run a Report

The Reporting section is the best place to start. Work out what you want to report on, then find a matching report in the relevant category.

For example, if you want to report on all Claim Service Jobs, look in the Service section of the reporting page and select Claim Service Jobs from the list.

Tip 2: Create Your Own Report

If none of the built-in reports quite fit your needs, you can build one from scratch. Click + New Report in the top right corner of the reporting page.

Set your parameters by selecting a Type first, then work through the remaining filters. The Type you select determines which other parameters and filters become available. Once you have configured your filters, click APPLY to generate the report.

Tip 3: Change Parameters and Filters

After running a built-in or custom report, you can adjust its parameters — such as date range or created-by filters — at any time. Click the dropdown arrow next to the filter chips to review and edit the current parameters.

Expand the search filter panel to change specific filters such as date range, type, or status.

Scroll down within the filter panel and click SELECT OTHER FIELDS to access additional filter options. When you are done making changes, scroll down and click APPLY to update the report results.

Tip 4: Customize Columns

Once a report is generated, you can add or remove columns to show only the data you need. Click the columns icon (the plus sign with three horizontal lines) to open the columns panel, then select or deselect the columns you want. Click Done to apply your changes.

Tip 5: View Totals

To see totals for your report, click the totals icon (the pie chart icon) in the report toolbar. The totals panel lists all figures relevant to the current report.

To add or remove individual totals, click SEE MORE TOTALS within the panel.

Tip 6: Export or Print a Report

To export or print a report, click the printer icon in the report toolbar. The export panel opens on the right side of the screen.

Work through the export options from top to bottom:

  • Click SELECT TOTALS TO INCLUDE to choose which totals appear in the export.

  • Click SELECT COLUMN TO GROUP to group specific items together in the output.

  • Click SELECT OUTPUT RESULTS and choose your format from the dropdown — Excel (.csv), PDF File, or Printer.

Click PREVIEW to preview the output, or click APPLY to generate the report in your chosen format.

Tip 7: Save a Custom Report

If you have configured a report with specific parameters, columns, and filters that you want to reuse, save it as a custom report. Click Save As in the report header.

A dialog will ask whether you are Updating an Existing Filter or creating a Save As New Filter. Select the appropriate option, enter a unique name for your custom report, and confirm to save.

Your saved report — with all its settings — is then available under the My custom and shared reports tab, listed by the name you gave it. To run it again, go to that tab and click the report name.

Tip 8: Mark Reports as Favorites

Reports you use frequently can be marked as Favorites for quicker access. Open a custom report and click the star icon in the report header. When the star turns yellow (filled), the report is saved as a Favorite.

Favorited reports appear in their own section on the reporting page for easy access.

Tip 9: Schedule Reports to Run Automatically

Blackpurl allows you to schedule certain reports to run at a specific date and time, with results emailed directly to a Blackpurl user at your dealership. For example, you can schedule end-of-month reports to run at midnight on the last day of the month so the data is ready for your accounting reconciliations.

Not all reports are currently available for scheduling. The Blackpurl development team is progressively enabling scheduling across all reports.
