PIN passcode verification lets you require staff to confirm their identity before clocking in for payroll or job time. When enabled, any staff member who goes to Payroll Clock on or Job Clock on must enter their personal PIN before their time is recorded.
Enable PIN Verification
PIN verification is controlled by two separate toggles in System Settings. To enable them, go to System Settings > Settings and Controls - Shop Settings and turn on the relevant options:
Enforce Payroll PIN — requires all payroll clocking staff to verify their identity when clocking on for payroll
Enforce Technician PIN — requires all job clocking staff to verify their identity when clocking on for a job
Set Up PIN Passcodes for Staff
Once PIN verification is enabled in System Settings, each relevant staff member needs a PIN assigned to their user profile. Go to System Settings > Users - Time Clocking staff, then click Edit or Edit & Manage on each staff member who requires a PIN.
In the edit window, fill in the PIN Passcode field. The PIN can contain numerals or letters and has no minimum length. Click Save when done.
How PIN Verification Works
When a staff member goes to Payroll Clock on or Job Clock on, the system will prompt them to enter their PIN Passcode and click Confirm before their clock-on is recorded.
Important Notes
Login users who have the Manage Payroll Clocking or Manage Job Clocking user permissions are exempt from PIN verification.
PIN verification also applies to Customer Order Service Jobs — staff must enter their PIN when clocking on or off a service job and when performing technician assignment actions.
