Quick Part Sale for a Known Customer

How to create a quick part sale in Blackpurl for an existing customer purchasing in-stock parts, recording the sale against their customer record.

A quick part sale lets you sell in-stock parts to a known customer and have the transaction recorded against their Customer Record in the Customer Order History section. Use this process when the customer is taking the parts immediately and you want to capture who the customer is for your records.

Steps

Part 1: Start a New Sale and Select the Customer

1. From the Blackpurl header, navigate to Parts > Sales > New Sale.

2. Click the Select Customer section at the top of the New Sale screen, then click into the Select for an existing customer field.

The Select for an existing customer field lets you search by surname, first name, mobile number, or email address. Results appear as you type. For example, searching Price will list all customers with that surname — click the correct customer to select them.

Tip: If the customer does not yet exist in the system, click Create New Customer and complete the form in the window that appears.

Part 2: Add Parts to the Order

1. In the Scan or search to add a part, kit, fee or merchandise (not labour) field, type the part name or scan its barcode. Results appear as you type — click the correct part to add it to the Customer Order.

2. Enter the quantity the customer needs and adjust the price if required.

Each line will show one of the following stock indicators:

  • In Stock — the part and quantity required are available now.

  • Required — the part will need to be ordered from the vendor as a special order.

If the customer is purchasing multiple parts, repeat step 3 and 4 for each additional part before proceeding to checkout.

Part 3: Checkout and Finalise

1. Click Checkout to load the checkout options.

The checkout screen includes the following options:

A — Select What You Want to Checkout

Choose which items on the order you are checking out.

B — Choose a Payment Method

Select the payment method for this transaction. Multiple payment methods can be applied to a single order.

C — Enter Amount

Type in the amount being paid for the selected payment method.

D — Change Cash Drawer

Select a different cash drawer if needed. See Set Up Multiple Cash Drawers for more information.

E — Backdate the Payment

Set an earlier date for the payment if required. See Backdate Customer Order Deposits, Payments, and Invoices for more information.

F — Add Payment

Click Add Payment to confirm the selected payment method and amount.

G — Payment Summary

Shows the total amount owing and payments received so far.

H — Finalise

Once the full amount is received and the Balance Due shows as zero and green, options appear to Print Invoice or Email Invoice to the customer. Click Finalize Checkout to complete the sale. You can also backdate the invoice at this stage — see Backdate Customer Order Deposits, Payments, and Invoices.

What Happens After Finalising

Once the Customer Order is finalised, no further changes can be made to it. The system automatically adds an Invoice History section to the Customer Order and the order status changes to CLOSED.

Tip: If you need to make changes after finalising, an invoice can be reopened. See Reopen an Invoiced Customer Order for more information.

The completed Customer Order is also recorded on the customer's Customer Record under their Customer Order History, so the sale is linked to Jaxon Price's record.
