Merge Customer Records

Combine two duplicate customer records in Blackpurl into one, consolidating their orders, owned units, and history under a single active record.

Before You Start

To access the Customer Merge tool, your user account must have the Merge customers permission enabled under User Permissions > Special Actions. Ask your administrator to enable this if you don't see the option.

How to Merge Customer Records

The Customer Merge tool lets you consolidate two duplicate Customer Records into one. The record you choose to keep remains active, and all Customer Orders, Customer Owned Units, and other details from the merged record are transferred to it. Follow the steps below to complete a merge.

1. In the Blackpurl header, click Tools, then select Customer Merge.

2. In the Search to Add field, type the name, phone number, or other details to find the Customer Record you want to keep active. Select the correct customer from the results.

3. In the Search to Add field again, search for the Customer Record you want to merge (the one that will become inactive). Select the correct customer from the results.

4. Both Customer Records will now appear on screen along with a summary of what will be merged. Review the details carefully before continuing.

5. When you are satisfied with the merge configuration, click MERGE CUSTOMERS. A confirmation dialog will appear — read it carefully, then click MERGE to confirm.

6. Once the merge is complete, Blackpurl will ask whether you want to view the active Customer Record. Make your selection accordingly.

Tip: If you select the wrong customer in either search field, click into the Search to Add field again to search for a different customer.

End Result

Blackpurl merges all data from the duplicate Customer Record into the active record you selected. The duplicate Customer Record is then made inactive.

Warning: Once a merge is complete, it cannot be reversed.

Other Information

  • If your dealership uses an Accounting Integration, the inactive Customer Record will also be made inactive in your Accounting Package.

  • Blackpurl will not allow you to merge a Customer Record that has an outstanding Accounts Receivable balance in your Accounting Package. The merge will be blocked and you will see a notification explaining the reason.
