Editing the Unit Record
There are many options within a Unit Record you can change after selecting the Edit button. This article will primarily describe editable fields on a Stock Unit Record. Some fields are unavailable or behave differently on Customer Owned Units, Ordered Unit Records, and Consignment Units. Unless otherwise stated, the instructions below apply to Stock Unit Records. Below is a photo of this section, along with an overview of each section.
In order to view the Editable Options you will need to select the Edit button at the top of the page within the Unit Record.
A. VIN/SN
This is where you can enter or change the VIN number of a Unit. History follows the VIN number of a Unit, so changing this on the Stock Unit Record or Customer Unit Record will disassociate it with the Ordered Unit Record. While you can change the VIN number of a Unit here, reaching out to the Blackpurl Support Team for assistance changing the VIN number is recommended to ensure it is changed for all records. B. Make
This is where you can enter or change the Make of a Unit. If you are trying to add a Make and are not seeing the Make you need, it may not be set up within your Blackpurl. For instructions on how to set up a new Make, please see Set Up Makes, Models, and Sub Models.
C. Model
This is where you can enter or change the Model of a Unit. If you are trying to add a Model and are not seeing the Model you need, it may not be set up within your Blackpurl. For instructions on how to set up a new Model, please see Set Up Makes, Models, and Sub Models.
D. Sub Model
This is where you can enter or change the Sub Model of a Unit. If you are trying to add a Sub Model and are not seeing the Sub Model you need, it may not be set up within your Blackpurl. For instructions on how to set up a new Sub Model, please see Set Up Makes, Models, and Sub Models.
E. Year
This is where you can enter or change the Year of a Unit.
F. Category
This is where you can change the Unit Category. It is important to note that the Unit Category determines which General Ledger (GL) accounts Blackpurl uses when it integrates unit-related transactions — such as purchasing, selling, and costing — to your accounting package. Every stocked unit must have a Unit Category assigned to it, and that category drives the accounting entries for inventory, income, and cost of goods sold. G. Taxable
This is the toggle for making the Unit taxable and the applicable tax rate associated with it.
H. Not for Sale
This is the toggle for turning on or off to indicate if the Unit is available to be sold. This toggle is automatically off when the unit is created ie the unit is available to be sold and it would need to be enabled if the unit was Not For Sale. If the unit is marked as Not For Sale, this would prevent the Unit from being added to a CO. As an example, if the Unit is broken and being repaired, or being used by the Dealership. This toggle cannot be enabled if the Unit is actively on a quote or an open Customer Pay CO, or if the Publish in Feeds toggle is turned on.
I. Date Stocked In
This is where you can adjust the date the unit entered stock.
For purchased units, this is the Vendor Invoice date.
For trade-ins, it is the date the trade-in was stocked in from a Customer Order.
For consignment units, the Date Stocked In and Date Stocked Out are the same — the date the unit was sold on a Customer Order.
J. Active
This toggle indicates whether the Unit is Active or Inactive. Before you make a Unit Inactive, please see Remove a Stocked Unit from Inventory and follow all the steps to ensure you make the Unit inactive correctly.
K. Product Type
This is where you can change the Product Type associated with the Unit. Before you can enter a Product Type here, it must first be configured within your Blackpurl. For instructions on how to do this, please see Unit Product Types and Unit Data Fields. Unit Product Types let your dealership define categories of units you sell — such as Trailers, Golf Carts, Motorcycles, or Powersports.
L. Stock #/Unit ID
This is a human friendly inventory number that you can use to search for specific units. This is typically auto-generated, but you can change it as needed here. Depending on the Unit Record type, automatically generated identifiers typically include:
SKU — Stock Unit Records
UNT — Ordered Unit Records, Consignment Units, and Customer Owned Units
M. Condition
There are currently three options to choose from for the Condition of a Unit: New, Used, or Demo. This can only be changed on the Stock Unit Record, so if a Trade-In Unit needs the Condition to be changed from Used (the automatic option for a Trade-In) to New, it can be done after the CO has been completed and the Trade-In is stocked into inventory.
N. Location
This is where you can enter or change the Location of a Stock Unit. The Location field on a Stock Unit Record works differently from part locations — it is a free-text field where you can type in any location value directly. However, please see Inventory Locations Best Practices.
O. Tags
This is where you can change, add, or remove tags for the Stock Unit Record. The tag must already be entered into your Blackpurl in order to input it into this field. For information on how to set tags up, please see Tags in Blackpurl.
P. Price
This is where you can adjust the Retail Price of the Stock Unit Record. This change will reflect on the Stock Unit Record and any New COs that are created after the change is saved.
Important: Changing the Unit Price does not retroactively change the price on existing COs.
Q. Cost
You can view the Cost of the Stock Unit Record from the Edit Unit pop-up, but the Cost cannot be edited from the Edit Unit pop-up.
Important: You can change the Cost of the Unit from the Unit Record, just not from the Edit Unit pop-up being explained here. If you need to adjust the Cost of the Unit, please see Process a Unit Cost Adjustment for instructions on how to do so.
R. Publish in Feeds
This is the toggle for including the Stock Units in your FTP Feeds. This toggle will not be present on Consignment Units. If you do not want your Stock Unit included in the FTP Feed just turn this toggle off. For more information on FTP Feeds, please see FTP Data Feed Setup.
S. Website URL
This is where you can enter a URL for an external website page related to the Unit. Adding a URL here will generate a QR code that will be included in the Unit Specifications Document which, when scanned, will navigate to the specified URL. T. Unit Details
The Unit Details section contains the Unit-specific data fields available for the Stock Unit Record.
The available fields may include sections such as:
General & Identification
Weight & Dimensions
Power & Wheels
Construction
Other Specs
Miscellaneous
The available Unit Details field options can be configured through your Settings & Controls in Blackpurl. For more information, please see Unit Product Types and Unit Data Fields.
U. Cancel or Save
After making changes:
Select Save to apply your changes.
Select Cancel to discard your changes.
If you navigate away without saving, your changes will not be applied.
Troubleshooting
I cannot edit a field.
Make sure your user account has the appropriate User Permissions. Please see User Permissions in Blackpurl Reference.
Some fields may also be unavailable because of the type or status of the Unit Record.
I cannot find the Make, Model, Sub Model, Product Type, or Tag I need.
The Make/Model/Submodel or Product Type or Tag may not yet be configured in your Blackpurl.

I cannot turn on the Not for Sale toggle.
A Unit cannot be marked Not for Sale if it is:
Actively on a quote.
On an open Customer Pay CO.
Configured with the Publish in Feeds toggle turned on.
Remove the applicable condition before attempting to turn on Not for Sale.
I receive an error when changing the VIN.
The VIN may already be assigned to another Unit. VINs cannot be duplicated within Blackpurl.
Because changing a VIN can affect Unit history and related records, please contact Blackpurl Support before making the change.
I changed the information in a text field but cannot find the value I want.
When editing some text fields, you may need to delete the existing value first before other available options appear.
