Create a New Part Record

How to manually add a new Part Record in Blackpurl, including field guidance, part types, non-inventory indicators, and stock on hand setup.

Part Records in Blackpurl are usually created when you upload a Vendor Price File, but there are times you may need to add one manually. This article walks through how to create a new Part Record from scratch, including key field decisions you'll need to make along the way.

Before You Start

The Vendor for the part must already exist in Blackpurl before you can create the Part Record. If the Vendor doesn't exist yet, add them first. See Add and Edit Vendors in Blackpurl for guidance.

Add a New Part Record

Follow these steps to create a new Part Record manually in Blackpurl.

1. From the Blackpurl header, go to Parts > Inventory, then click + Add Part.

Key Field Notes

A. Vendor

The Vendor field is required. If the Vendor for this part doesn't yet exist in Blackpurl, you'll need to create the Vendor record before you can save this part. See Add and Edit Vendors in Blackpurl.

B. Part Type

If the Vendor has been set up for Products and Services with both Part Purchases and Merchandise Purchases enabled, the Part Record will require you to select a Part Type.

C. Non-Inventory Part Indicator

Marking a part as non-inventory tells Blackpurl not to track quantities or average costs for that part. Non-inventory parts behave differently in the following ways:

  • When added to a Customer Order, the part will automatically show as in stock.

  • Non-inventory parts do not go through the Special Order Vendor Order (VO) / Vendor Return (VR) / Vendor Invoice (VI) process.

  • Non-inventory parts cannot be ordered through the standard ordering workflow.

D. Quantity in Stock

When you first create a Part Record, you can enter the current Stock on Hand directly in this section. Be aware of the accounting implications before entering a quantity.

For dealerships with Accounting Integration: Entering a Stock on Hand quantity at this point will create a stock adjustment journal entry in your accounting package based on the quantity and cost entered:

  • Debit — the relevant Inventory General Ledger account

  • Credit — the default Stock Adjustment General Ledger account
