Inventory Part Records vs Non-Inventory Part Records Explained

Learn the difference between Inventory and Non-Inventory Part Records in Blackpurl and when each type applies.

In Blackpurl, every Part Record is classified as either an Inventory Part or a Non-Inventory Part. This classification controls whether the part tracks quantities and costs, can be ordered, and contributes to your dealership's inventory valuation.

Every Part Record includes a Non-Inventory Part indicator set to either Yes or No.

Inventory Part Records

An Inventory Part Record has Non-Inventory Part set to No. This is the standard part type and should represent the majority of Part Records in your Blackpurl.

Inventory Part Records support the following:

  • Cost can be added to the record and is tracked over time

  • The part can be ordered and special ordered from a Customer Order

  • Each Part Record shows quantity in stock, quantity available, quantity on order, and quantity committed

  • Each Part Record lists open Customer Orders and invoices where the part has been sold

  • Customer Order profitability uses the part cost and price charged to calculate profit

  • The part is included in your dealership's Inventory Valuation in the Inventory General Ledger in your accounting package

Non-Inventory Part Records

A Non-Inventory Part Record has Non-Inventory Part set to Yes. This type is not recommended for general use but may be necessary for miscellaneous items that don't require cost tracking or stock management.

Non-Inventory Part Records behave differently in several important ways:

  • Cost cannot be added and is not tracked — no cost value is associated with the part

  • The part cannot be ordered and cannot be special ordered from a Customer Order

  • Stock quantity is not tracked — the Part Record will not show quantities on hand

  • Each Part Record still lists open Customer Orders and invoices where the part has been sold

  • Customer Order profitability will show the part at 100% profit because there is no cost to offset against the sale price

  • The part is not included in your Inventory Valuation because it carries no cost value

  • When added to a Customer Order, the part always shows as available and in stock

  • When added to a Customer Order, the description can be overridden by the user so it makes sense to the customer

Switching Between Part Types

You cannot switch a Part Record back and forth between Inventory and Non-Inventory. Once a part has been used or stocked, Blackpurl restricts the change:

  • If the part has ever been sold as an Inventory Part, Blackpurl will not allow you to change it to a Non-Inventory Part

  • If the part has ever had a quantity recorded as Stock on Hand, Blackpurl will not allow you to change it to a Non-Inventory Part
